We are actively seeking a dynamic Service Administrative Assistant to join our rapidly growing team at our Eau Claire location. The Service Administrative Assistant provides clerical support to our Service Department, partnering with service, technicians, regional management, and support teams to ensure effective customer service.

Position Responsibilities:

  • Answer general & service phones.
  • Take service calls from customers.
  • Create orders for technicians.
  • Assist in Service Dept. processes as assigned.
  • Maintain filing system.
  • Daily mail distribution.
  • Review weekly & monthly reports as assigned.
  • Order and maintain office supplies for service department.
  • Close repair orders.
  • Obtain purchase order number from customers if missing. May invoice orders.
  • Assist with technician uniform program, depending upon branch.
  • Assist with follow up on quotes, depending upon branch.
  • Coordinate deliveries & pick-ups with cartage team – print delivery shippers.
  • Update delivery log for shop jobs.
  • Upon direction from service manager, assign shop jobs to technicians in business system.
    • Manage status of current shop jobs, keep customer aware of status.
    • Follow up on pending shop quotes to obtain permission from customer to proceed with repairs.
    • Review paperwork from techs, charge out oils, batteries, etc from paperwork.
    • Obtain proper approval for Rental/TM&R repairs.
    • Approve shop service invoicing prior to billing.
    • Prepare all service proposals for shop jobs, to include additional repairs found once a job is started in the shop (Include parts & labor).
    • Schedule and administration of outside repairs needed.
  • Backup shipping/receiving duties.
  • Assist, cover, train and cross-train on other service office job duties
  • Travel between branch locations as required.
  • Perform projects as requested.

Essential skills and experience:

  • Ability to organize and manage multiple priorities.
  • Excellent telephone and customer service techniques.
  • Strong computer proficiency.
  • Commitment to company vision and mission.

Physical demands: Employee is required to frequently sit, talk, and listen, and to use hands to finger, handle, or feel objects, tools, or controls, including computer and other office equipment. Employee is required to occasionally stand and walk. Employee must occasionally lift and/or move up to 30 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
