Service Administrator

Service Administrator (In‑Processing & Out‑Processing)

Location: Fluke Services – Fluke Park


Position Description

This position receives equipment, books RMAs, and updates service orders in Oracle/Depot Repair for inbound customer equipment deliveries. This role ensures customer equipment and service orders are received, reviewed, transacted, shipped, and communicated accurately and efficiently within Oracle/Depot Repair systems. Cross-trained to back up shipping and receiving functions on the dock.

Primary Responsibilities

  • Receive and in‑process inbound service orders, including booking RMAs and updating service orders within Oracle/Depot Repair.
  • Review service orders, equipment, and accompanying documentation to verify pricing, part numbers, accessories, and shipping instructions.
  • Perform out-processing and shipping transactions, including packaging, labeling, expediting shipments, and completing required system transactions within Oracle/Depot Repair.
  • Manage and maintain customer credit holds, escalating and resolving issues in coordination with internal stakeholders.
  • Communicate effectively with customers and internal Fluke teams, including Accounting, Logistics/Traffic, Customer Care, IT, and System Support, via phone and email.
  • Ensure accurate documentation management, including obtaining, filing, and locating paperwork or products within and outside the immediate work area.
  • Support regulatory, contractual, and order‑processing compliance by following established guidelines and procedures.
  • Cross-train and provide backup support for shipping and receiving dock operations, including cleaning and inspection of units as needed.

Skills and Experience

  • 1–2+ years of experience in customer service, logistics, material handling, or service order processing (in‑processing and/or out‑processing).
  • Proven ability to communicate professionally with internal and external customers via phone and email.
  • Strong computer skills, including proficiency with Microsoft Office and Internet-based tools.
  • High attention to detail with the ability to manage multiple tasks accurately in a fast-paced environment.
  • Demonstrated organizational, interpersonal, and written/oral communication skills, with the ability to work tactfully across departments.
  • Ability to complete tasks with supervision using established order processing procedures and guidelines.

Qualifications

  • U.S. Citizen or U.S. Person status required.
  • Minimum of 1–2 years of material handling and/or customer service experience.
  • Ability to lift up to 50 lbs and work safely with service equipment.
  • Ability to work productively in a team environment with strong work ethic and reliability.
  • Flexibility to work varying schedules, including occasional overtime, as business needs require.

Preferred Qualifications

  • Customer service or logistics background.
  • Prior data entry experience.
  • Experience with computerized inventory, CRM, or shipping systems (e.g., UPS, FedEx).
  • Familiarity with contract review, terms and conditions, and regulatory compliance requirements.

Pay Range
The salary range for this position (in local currency) is 39,400.00 - 59,100.00
