Position Summary
The Service Coordinator supports daily operations by managing scheduling, dispatching crews, and ensuring the right people, equipment, and materials are aligned for each project. This position keeps the schedule running efficiently across both landscape and snow operations and supports communication between office, field, and sales teams.
Duties and Responsibilities
- Scheduling and Dispatching:
- Creates and maintains daily and weekly crew schedules for landscape and snow operations.
- Adjusts schedules based on weather, staffing, and customer priorities.
- Coordinates emergency dispatch during snow or storm events.
- Ensures projects are staffed with properly skilled crews and equipped with necessary tools and equipment.
- Operational Support:
- Work with Operations Manager and Field Supervisors to manage workload distribution and labor forecasting.
- Reviews service contracts, work orders, and change orders for accuracy before scheduling.
- Assists with job costing and time tracking accuracy in ServiceTitan (preferred) or related systems.
- Helps coordinate final mile quality checks with Account Managers and Field Supervisors.
- Communication and Coordination:
- Serves as the primary contact for scheduling updates between Sales, Field Supervisors, and Operations.
- Maintains real-time awareness of active jobs, progress, and delays.
- Supports employee culture initiatives and promote team accountability and communication.
- Winter Operations (Snow Season)
- Monitors weather forecasts to anticipate operational needs.
- Supports after-hours scheduling or dispatch as needed for snow events.
- Tracks crew activity and verify completion of assigned routes or services.
- Other duties as required or assigned
Position Qualifications
- High school diploma required.
- Associates/Bachelors preferred.
- 2+ years in logistics, scheduling, or dispatch preferred.
- Landscape or snow industry experience a plus.
- Valid NYS Driver’s License, required
- Reliable transportation and ability to commute to and from Clarence Center, NY, required
Knowledge, Skills, and Abilities
- Highly organized, detail-oriented, and able to manage multiple priorities.
- Strong communication and problem-solving skills.
- Comfortable working under pressure and adjusting to weather-driven changes.
- Excellent written and verbal communication skills
- Proficiency in MS Office Suite and scheduling software
- Ability to work independently and as part of a collaborative team
- Strong problem-solving skills and flexibility to adapt to changing priorities

Pay: $22.00 - $27.00 per hour
