The Service Dispatcher is responsible for managing the daily flow of vehicles through the shop to ensure maximum technician productivity, efficient turnaround times, and a smooth customer experience. This position acts as the central coordinator between technicians, management, and customers by assigning work strategically, monitoring progress, and ensuring vehicles move in and out of the shop efficiently.
In addition to dispatching work, the Service Dispatcher is responsible for overseeing the rental vehicle fleet, ensuring vehicles are properly tracked, maintained, and available for customers when needed.
This role plays a critical part in maintaining shop organization, minimizing downtime, and helping the team achieve productivity and performance goals.
Assign and distribute work to technicians in a fair and strategic manner to maintain high productivity levels
Monitor technician workload and bay utilization to ensure stalls remain full and work is progressing efficiently
Control vehicle movement in and out of the shop to prevent bottlenecks or downtime
Coordinate with management on job priorities and production goals
Ensure vehicles are properly staged and ready for technicians to begin work
Track vehicle status throughout the repair or service process
Maintain an organized workflow to keep vehicles moving through the shop smoothly
Help maintain consistent shop productivity by ensuring technicians always have work ready
Monitor repair order progress and adjust workflow when necessary to prevent delays
Communicate with technicians and management about job status and completion times
Assist management in identifying workflow inefficiencies and opportunities for improvement
Support the team in maintaining an organized and efficient work environment
Manage the dealership rental vehicle fleet and track vehicle availability
Coordinate rental vehicle assignments for customers when needed
Ensure rental vehicles are properly cleaned, fueled, and ready for customer use
Monitor rental vehicle returns and inspect vehicles for cleanliness and damage
Maintain accurate records of rental vehicle usage and scheduling
Coordinate maintenance and service needs for rental vehicles
Serve as a communication hub between technicians, management, and front office staff
Provide updates on vehicle progress and expected completion times
Help coordinate priority jobs or sold vehicles that require expedited service
Assist with scheduling adjustments to maintain a smooth daily workflow
Strong organizational and time management skills
Ability to multitask in a fast-paced shop environment
Excellent communication and coordination skills
Ability to prioritize work and adjust quickly to changing demands
Basic computer and scheduling system knowledge
Strong attention to detail and problem-solving ability
Positive attitude and ability to work with a team
Technicians consistently have work ready and stalls remain full
Vehicles move efficiently through the shop with minimal delays
Rental vehicles are organized, clean, and readily available for customers
Shop workflow remains organized and productive throughout the day
