RESPONSIBILITIES:

Help in the Acquisition Transition
-
Manage all time charged to jobs including Procard transactions (billable vs non-billable)

Manage accounts receivable and assist with the resolution of customer billing disputes

Procure parts and materials for scheduled maintenance, repairs, and emergency service calls

Complete booking of new jobs and set up of billing plans

Review open orders daily to ensure timely completion of jobs

Ensure timely and accurate billing of project, service contract, T&M, and fixed price jobs

Schedule and dispatch 8+ technicians daily work orders for repairs while ensuring the scope of work and time requirements are well communicated

Manage prioritization of repairs while optimizing technician-assigned routes to align with job requirements

Partner with Service Manager to prepare bi-weekly technician schedule

Assist with the management and recording of non-productive technician time

Assist in general office administration: answering phones, receiving and distributing of mail, receiving parts, etc.

Must be flexible and able to switch focus quickly on other items as it needs attention

Required Qualifications:
-
A High School diploma or GED
-
3+ Years working in an office environment
-
2+ years of Service Industry experience
Preferred Qualifications:

Excellent communication both written and verbal
-
Proficient in Microsoft Office Suite, Salesforce, and SAP
-
Possess the ability to multitask and successfully prioritize work based on deadlines
-
1+ years Dispatching & Scheduling experience
