  • Route Optimization: Plan service routes to minimize travel time and fuel costs while maximizing the number of completed stops per day.
  • Client Communication: Notify customers of their scheduled service windows and provide real-time updates regarding technician arrival times.
  • Work Order Flow: Review incoming service requests and ensure they are assigned based on technician expertise and location.
  • Collaboration: Work closely with the Service Writer to schedule approved repairs once parts have been received and staged.
  • Status Tracking: Monitor the progress of technicians throughout the day to identify potential delays and adjust the schedule accordingly.
  • Reporting: Assist the Service Manager in tracking "Key Performance Indicators" (KPIs) such as first-time fix rates and billable hours.

Qualifications:

  • Logistical Experience: Prior experience in dispatching, scheduling, or logistics, ideally in a trade industry (HVAC, Electrical, Plumbing, or Construction).
  • Geographic Knowledge: Strong familiarity with the Bay Area and Central Valley geography and traffic patterns.
  • Communication Skills: Calm under pressure with the ability to handle high-volume phone calls and emails professionally.
  • Critical Thinking: The ability to "think three steps ahead" when a technician gets stuck on a job or a truck breaks down.
  • Tech Savvy: Proficiency in CRM or Dispatching software, high computer proficiency.
  • Adaptability: Comfortable in a fast-paced environment where the schedule can change five times before noon.
