Job Description:

We are searching for the best talent for a Shared Services Manager role based in Cairo, Egypt.

Purpose: Shared Service Manager will be responsible for establishment and operational activities of centralized Shared Service team. This role will be responsible for team establishment, development and implementation of operational controls and procedures to ensure Shared Services tasks are completed by the respective team members in an accurate and timely manner. Effective communication will be required with Johnson & Johnson affiliates in Middle East region, regional and EMEA teams to ensure seamless Requisition to Pay regional process and high level of customer satisfaction.

You will be responsible for:

Ensure seamless end-to-end Requisition to Pay process performed by the centralized team on behalf of Middle East J&J affiliates

  • Managing day-to-day activities, establishing work schedule and effective team workload distribution
  • Assist with recruitment and placement of required employees, establishing the organizational structure. Onboarding of new employees
  • Must lead the team and provide development in short term and long term. Delegation of tasks and accountabilities and team development opportunities
  • Ensure adherence to Standard operating procedures and policies, ensure that team is kept up-to date with changes to policies and procedures
  • Identify and drive improvement initiatives with recommended actions to streamline process, improve operational efficiencies and opportunities to reduce operational costs
  • Analyze Key Performance Indicators (KPIs), hold regular reviews with the team for process improvement by providing guidance on actionable measures
  • Interaction with functional leads/managers and Business stakeholders across all sectors in Middle East Main performance measures (Performance Goals)

Review of Procure to Pay internal/external communication with end users, business partners and suppliers where required

  • Analyze and evaluate business processes and recommend actions to streamline processes, improve operational efficiencies and identify opportunities for reducing operation cost
  • Act as key contact point for operational escalation support
  • Review performance of the team members, address any gaps and identifying development opportunities.
  • Review and reconcile Open Purchase Order reports for JENA, NEMA, Gulf, and KSA markets (Innovative Medicine and MedTech divisions).
  • Oversee and revise distributors’ accruals on a quarterly basis for JENA, NEMA, Gulf, and KSA for Innovative Medicine, and for Gulf and KSA for MedTech
  • Conduct monthly meetings with the travel agency supplier to review performance, resolve issues, and align on upcoming requirements.
  • Perform Goods Receipt/Invoice Receipt reconciliation activities to ensure accuracy and clear discrepancies.
  • Assist in internal and external audit requests for each legal entity, ensuring timely and accurate data provision.
  • Prepare and update the annual Standard Operating Procedure (SOP) for the debit notes process to enhance process clarity and compliance.
  • Follow up with the Treasury and Payment teams on pending payment issues to ensure timely settlement.
  • Review and approve manual payment forms for import and export transactions in compliance with internal controls
  • Proactively identify process gaps and implement new controls, workflows, and SOPs to improve operational efficiency and compliance.

Qualifications:

  • Education: Bachelor degree

  • Years of Experience: 5 years in similar position (experience in Finance or Procurement is a plus)

  • Language: Fluent English is a must (Arabic, French a plus)

  • Location: Egypt, Cairo
