Shipping Coordinator

Responsibilities

Job Summary:

The Shipping Coordinator effectively coordinates activities related to the shipping area, actively participating alongside other employees and the various carriers in all matters related to the verification and maintenance of shipping records for shipments that leave and/or enter our Curtis Instruments, Puerto Rico, Inc. facilities. A valid driver’s license is required to be included in the company’s mandatory liability insurance as part of the authorization to operate motorized equipment used to move materials.

Principal Responsibilities:

  • Verify the instructions and shipping requirements for each customer order, including the Pick List, shipping notice, commercial invoice, bills of lading, AES, etc., as well as the related documentation, in order to determine priorities, work assignments, and the shipping methods required to meet customer requirements.
  • Follow up and carry out the necessary actions to ensure the timely and safe pickup and transportation of shipments—whether by sea, air, or land—leaving to customers, and ensure quality in terms of accuracy, completeness, and the good condition of the merchandise in each shipment.


  • Determine space requirements and the positioning of shipments in railcars and trucks and establish proper handling instructions for carriers in accordance with established requirements.


  • Inspect loading operations to ensure compliance with shipping specifications, documentation, and required seals.


  • Inspect material-handling equipment for defects and notify the department supervisor or manager and/or maintenance personnel or service contacts for repair.


  • Review daily reports of pending shipments and provide other area employees with the necessary documentation for the preparation of such shipments; clarify any information and instructions for proper preparation and effective handling, according to the specifications established by the Curtis Mount Kisco Customer Service group for each order.


  • Coordinate shipment pickups with carriers according to the guidelines and instructions established for each shipment.


  • Perform daily billing for each shipment, as applicable, and maintain inventory records in the company’s designated automated system for these transactions.


  • Enter Move Tickets in the system for product units arriving from production or warehouse areas to the shipping area.


  • Update and appropriately communicate shipment tracking or in-transit movement information to management from the time shipments leave the facility until they reach their destination.


  • Maintain effective communication via email and/or telephone with different groups, including the Customer Service department, regarding shipment requirements and tracking as needed.


Minimum requirements:

Associate degree or equivalent of two years of college or technical school; or an equivalent combination of education and experience.
Six months of experience and/or training in tasks related to the basic responsibilities of the position.
