Shipping & Receiving Assistant Job Description


The Shipping & Receiving Assistant at Montana Supply is an hourly, regular, full-time year-round employee who is responsible for dynamically balancing the day-to-day operations of receiving, re-stocking, back stocking, and maintaining the organization of the stock room. This role also includes responsibility for reporting stock and supply needs to the Shipping & Receiving Manager. They report directly to the Shipping & Receiving Manager.

Primary Duties

The primary responsibilities of the Shipping & Receiving Assistant can be broken down into four categories:

  • Receiving and processing incoming inventory (50%)
  • Restocking and backstock organization (20%)
  • Stock room organization and supplies reporting (20%)
  • Processing outgoing shipments (10%)

Receive & Back Stock Inventory – 50%

  • Bring new deliveries to the receiving room within one hour of arrival.
  • Sort and inspect deliveries to ensure they match the purchase order number and invoice.
  • Communicate any deliveries that are past their cancellation date to the Primary Buyer or Shipping & Receiving Manager before receiving.
  • Receive deliveries in a timely and efficient manner, following receiving standards.
  • Ensure that all packages are processed within five business days of initial delivery date.
  • Request support from the Merchandising Team when the receiving backlog is greater than five days.
  • Compare actual receivables against the purchase order and communicate discrepancies to the Shipping & Receiving Manager.
  • Prepare product for the sales floor according to labeling and merchandising standards, including steaming apparel, labeling products, and sorting between backstock and floor stock.
  • Restock merchandise on the sales floor as needed, typically in the morning or as directed by the Shipping & Receiving Manager.
  • Place any loose product in its appropriate backstock location as part of End of Day procedures.

Restock & Backstock Organization – 20%

  • Maintain an organized, clearly labeled, and easily navigable backstock area.
  • Ensure product is organized according to backstock procedures and updated standards.
  • Receive and organize any excess sales floor stock returned to the backstock room by the sales or visual teams.
  • Regularly assess the backstock area for efficiency and communicate any space or process improvements to the Shipping & Receiving Manager.

Organization & Supplies Reporting – 20%

  • Maintain overall organization of the receiving and stockroom areas.
  • Conduct regular checks of shipping and stockroom supplies, reporting supply needs to the Shipping & Receiving Manager.
  • Support the Shipping & Receiving Manager in scanning and organizing inventory documentation as needed.
  • Assist in identifying opportunities to improve backstock flow, labeling, and storage efficiency.

Processing Outgoing Shipments – 10%

  • Check eCommerce sales frequently throughout the day, pulling product and packaging orders for on-time delivery.
  • Package vendor returns once authorized, per the directive of the Shipping & Receiving Manager.
  • Deliver outgoing packages to their correct drop-off point daily.
  • Pick up mail and packages from the post office three times per week.

Skills and Competencies

Skills:

  • High School diploma or equivalent
  • Previous experience working within a team setting
  • Ability to stand and walk for extended periods of time (may be greater than 8 hours)
  • Strong communication and organization skills
  • Capable of lifting 50 lbs
  • Intermediate level of Lightspeed Retail Point of Sale System knowledge
  • Basic technological familiarity including some knowledge of Microsoft Office Suite
  • Ability to read, write, and perform basic math

Working Relationships

Shipping & Receiving Manager

  • Submit time off requests in BambooHR for approval
  • Receive overtime requests and scheduling guidance
  • Address and resolve any scheduling conflicts
  • Request and receive additional information regarding prioritized deliveries, backstock standards, and pricing adjustments
  • Receive notice of additional tasks to be completed throughout the course of a shift
  • Receive updates or changes to shipping or receiving processes
  • Submit 14-day end of employment notice in writing

Purchasing/Visual Team

  • Receive requests for prioritized receivables based on sales floor space
  • Request purchase order entry for deliveries that do not have an assigned PO
  • Communicate about any notes in a purchase order regarding cancellations or late shipments
  • Receive direction to assist with projects related to backstock or workspace organization (excluding merchandising materials)
  • Receive price adjustments and promptly relabel backstock as needed

Store Manager and Sales Team

  • Receive excess floor stock from the sales or visual team and organize it into backstock
  • Communicate any price adjustments to ensure accurate product labeling and pricing
