How you’ll contribute…
Site Admin plays a key role in supporting daily operations on large-scale solar farm construction projects. This position ensures smooth coordination between field teams, subcontractors, and corporate support departments. The ideal candidate is highly organized, detail-oriented, and thrives in a dynamic, project-based environment. Travel to project sites is required for the duration of construction activities.
Key Responsibilities…
Administrative & Project Support
- Provide day-to-day administrative support to the site management team.
- Maintain project documentation, logs, and records in compliance with company standards.
- Manage correspondence, meeting minutes, and reports for project leadership.
- Assist with timekeeping, daily reports, and tracking of manpower and equipment.
- Coordinate with corporate HR and payroll to ensure accurate employee onboarding, time entry, and compliance documentation.
- Support project managers with procurement requests, purchase orders, and invoice coding.
Site Coordination & Logistics
- Assist in organizing travel, lodging, and per diem arrangements for site staff.
- Maintain office supplies, equipment, and vendor services at the job site.
- Act as a point of contact for site visitors, vendors, and subcontractors.
- Support health, safety, and environmental (HSE) documentation and ensure safety postings are up to date.
- Coordinate delivery receipts, inventory logs, and material tracking as required.
Communication & Reporting
- Ensure smooth communication between the project site and corporate departments (HR, accounting, procurement, etc.).
- Prepare and distribute weekly project reports, schedules, and updates as needed.
- Assist in project closeout activities, ensuring all records and documentation are complete.
What you’ll bring…
Qualifications
- 2+ years of administrative experience, preferably in construction or renewable energy.
- Strong computer skills (Microsoft Office Suite, SharePoint, Adobe, and/or Procore or similar software).
- Excellent organizational and communication skills.
- Ability to work independently in a fast-paced construction site environment.
- Strong attention to detail and follow-through.
- Ability to maintain confidentiality and professionalism at all times.
Travel Requirements
- Must be willing and able to travel to remote project sites.
- Extended stays may be required during active construction phases.
- Company-paid travel, lodging, and per diem provided.
