Job Summary: As a Site Administrator for a utility-scale solar electrical subcontractor, you will provide administrative support to ensure the smooth operation of the construction site. You will coordinate with various teams, manage documentation, and assist with project logistics to facilitate efficient project execution.
Key Responsibilities:
- Perform general administrative tasks such as managing correspondence, preparing reports, preparing offer packets, preparing spreadsheets, and maintaining records.
- Maintain and organize project documentation, including contracts, permits, and inspection reports.
- Coordinate meetings, appointments, and travel arrangements for project staff.
- Serve as a liaison between site management, workers, subcontractors, the corporate office and Human Resources.
- Ensure all safety protocols and procedures are followed on-site.
- Assist with timekeeping and payroll, including correspondence with site personnel and the payroll department.
- Maintain office supplies and equipment, ensuring the site office is well-organized and functional.
- Other administrative duties as assigned.
Physical Requirements:
- Ability to work in an office environment on a construction site.
- Ability to perform tasks such as lifting office supplies and equipment up to 20 lbs., standing for extended periods, and working in various weather conditions.
- Ability to move around the construction site may include walking on uneven terrain and climbing stairs.
- Good hand-eye coordination and manual dexterity for handling documents and office equipment.
- Ability to read and interpret documents, plans, and computer screens accurately.
- Adequate hearing to communicate effectively with team members and respond to site alarms or signals.
- Willingness to travel to different project sites as needed.

Qualifications:
- Previous experience in an administrative role, preferably in construction or a related field.
- Ability to work well on a team and collaborate with different departments within the organization.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook); strong organizational and communication skills. Experience with Procore a plus.
- Strong attention to detail
- Bi-lingual (English/Spanish) a plus.
- Experience with IRA Registered Apprenticeship Program a plus.
- High school diploma or equivalent; additional education or certifications in office administration are a plus.
