The Site Billing and Follow-Up Executive is responsible for preparing and managing all billing-related activities at project sites. The role involves ensuring accurate documentation, timely submission of running and final bills, tracking approvals, and coordinating with internal and external stakeholders for follow-ups and payment realization.
Key Responsibilities:Billing:
- Prepare RA (Running Account) bills and final bills based on work progress at the site.
- Verify and reconcile quantities with the execution/site team.
- Ensure that all supporting documents (like measurements, photographs, client certifications, etc.) are attached.
- Coordinate with Quantity Surveyor and Site Engineers for measurements and updates.
- Maintain billing logs and reports on a daily/weekly basis.
Follow-Up & Coordination:
- Regular follow-up with clients/consultants for certification and processing of bills.
- Follow up with accounts or finance teams for payment collections.
- Coordinate with internal departments for approvals, clarifications, and supporting documents.
- Maintain communication logs and updates regarding bill status.
Documentation & Reporting:
- Maintain proper filing and documentation of all bills, approvals, and communication.
- Prepare billing status reports, aging reports, and collection forecasts.
- Assist in audit requirements related to billing and project revenues.
Key Skills & Competencies:
- Good understanding of construction billing (RA/final bills).
- Knowledge of contractual terms, BOQ, work orders, etc.
- Proficiency in MS Excel and billing/accounting software (e.g., Tally, ERP).
- Strong follow-up and communication skills.
- Attention to detail and ability to handle documentation accurately.
Qualifications & Experience:
- Bachelor's degree in Commerce, Engineering (Mechanical), or related field.
- 2–5 years of experience in site billing or project billing, preferably in construction or infrastructure sectors.
- Experience working on large-scale project sites is an advantage
