We are seeking an organised and detail-oriented Site Document Controller to oversee all documentation and information management processes on our major construction and engineering projects. In this important role, you will ensure the accurate receipt, distribution, and control of technical drawings, project records, and reports in line with industry standards. - Coordinate the receipt, registration, distribution, and archiving of project documentation, drawings, and correspondence on construction sites.
- Implement and maintain document control procedures, ensuring compliance with ISO standards and client requirements.
- Manage both electronic and hard-copy files, ensuring version control and traceability of all project documents.
- Collaborate closely with site teams, engineers, contractors, and project managers to ensure timely communication and accurate information sharing.
- Monitor document workflows, issue status reports, and highlight overdue submissions or non-conformances for resolution.
- Support audits and quality assurance reviews by maintaining comprehensive and accessible document archives.
- Champion information security, data protection, and confidentiality standards throughout all document-related processes.
- Assist in continuous improvement initiatives to optimize document management systems and processes.
- Experience as a Document Controller, Site Administrator, or in a similar. documentation management role, ideally within the construction, engineering, or consultancy sector.
- Competency with electronic document management systems (EDMS), such as Aconex, Viewpoint, or similar platforms.
- Understanding of document control best practices, drawing management, and relevant industry standards (e.g., ISO 9001).
- Strong organizational skills with exceptional attention to detail and the ability to work to deadlines in a fast-paced site environment.
- Confident communicator, able to liaise effectively with multidisciplinary project teams and external partners.
- Proactive, methodical approach and problem-solving capability, supporting colleagues and project outcomes.
- Commitment to working to SSE’s values of equality, diversity, and health and safety on site.
- IT literacy, including proficiency with Microsoft Office; familiarity with construction-specific software is desirable.
- Relevant qualifications in administration, information management, or equivalent experience are highly valued.
