Key Responsibilities1. Spare Parts Procurement
- Identify parts requirements based on maintenance schedules, breakdown reports, and workshop needs.
- Source spare parts from approved suppliers while negotiating best prices and delivery timelines.
- Generate purchase orders and track order status until delivery.
2. Inventory Management
- Maintain accurate stock levels of critical spare parts (filters, tyres, batteries, belts, brake components, lubricants, electrical parts, etc.).
- Perform regular stock audits and update inventory records in the system (ERP/Tally/Excel).
- Monitor slow-moving, fast-moving, and obsolete parts to optimize inventory costs.
3. Vendor Management
- Build strong relationships with spare parts suppliers, dealerships, and local vendors.
- Evaluate vendor performance based on price, quality, and reliability.
- Ensure timely resolution of warranty claims and returns.
4. Workshop & Operations Coordination
- Coordinate with mechanics, workshop supervisors, and fleet managers to understand part requirements.
- Ensure speedy availability of parts to minimize vehicle downtime.
- Support preventive maintenance and breakdown repair processes by ensuring correct parts are issued.
5. Documentation & Compliance
- Maintain proper documentation of stock issuance, receipts, invoices, and GRNs (Goods Receipt Notes).
- Ensure all parts meet quality standards and comply with vehicle manufacturer guidelines.
- Track consumption patterns for cost analysis and planning.
6. Reporting
- Prepare daily/weekly/monthly stock and consumption reports.
- Monitor spare parts expenses and submit cost-saving recommendations.
- Maintain accurate records of warranty and service histories.
Required Skills & Competencies
- Strong knowledge of automobile spare parts (commercial vehicles, buses, trucks, etc.).
- Basic understanding of mechanical and electrical vehicle systems.
- Excellent negotiation and vendor management skills.
- Proficiency in MS Excel, inventory software, ERP, or Tally.
- Strong organizational and record-keeping skills.
- Ability to work under pressure and meet maintenance deadlines.
Qualifications
- Diploma/ITI/Bachelor’s in Automobile/Mechanical Engineering (preferred).
- 1–4 years of experience in spare parts management, transportation maintenance, or workshop operations.
- Experience in commercial vehicle parts (TATA, Ashok Leyland, Eicher, BharatBenz, etc.) is an advantage.
