The Special Projects Assistant provides high-level project management, research, and operational support to the leadership team. This role is responsible for taking ambiguous, cross-functional initiatives from concept to execution. The ideal candidate is highly adaptable, exceptionally organized, a proactive problem-solver, and comfortable pivoting between deeply strategic tasks and hands-on administrative execution.
- Project Coordination & Execution: Plan, track, and drive cross-departmental projects to completion (e.g., office relocations, launching a new software system, planning high-stakes corporate events, or setting up a new international branch).
- Research & Analysis: Conduct deep-dive research into market trends, vendor options, new regulatory requirements, or competitive landscapes, and distill findings into concise executive summaries or presentations.
- Executive Support: Assist the leadership team with high-priority tasks, which may include drafting sensitive communications, prepping briefing materials for major meetings, and acting as a liaison between the executive and internal/external stakeholders.
- Process Optimization: Audit existing internal workflows or operational bottlenecks and design, document, and implement streamlined solutions.
- Change Management: Act as a central point of contact when new company-wide policies or tools are introduced, ensuring smooth adoption across teams.
- Ad-Hoc Troubleshooting: Step into chaotic or urgent situations to organize chaos, align stakeholders, and keep critical deadlines from slipping.
- Experience: 1–3 years of experience in project management, operations, business analysis, or an advanced executive assistant role would be a plus.
- Education: Bachelor’s degree in Business Administration, Communications, or a related field (or equivalent practical experience) would be a plus.
- Project Management Skills: Familiarity with project management frameworks and tools (e.g., Asana, ClickUp, Trello, or Jira).
- Communication Mastery: Exceptional written and verbal communication skills; ability to communicate confidently with both entry-level staff and C-suite executives.
- Technical Savvy: Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint) or Google Workspace. Ability to quickly master new software platforms.
- Core Competencies: High emotional intelligence (EQ), absolute discretion with confidential information, a "no task too big or too small" mentality, and extreme comfort with ambiguity.
