Road Scholar offers a remote-first work environment. The compensation range for this exempt level salaried position is $60,000 - $65,000 based on experience.

About the role...

The Community Engagement Specialist will provide administrative, operational, and event planning support for the execution of Road Scholar’s Work life and Community Engagement strategy. This role is critical for managing Road Scholar’s monthly employee culture events by ensuring events are well planned, organized and produced. The Community Engagement Specialist will have both internal and external facing responsibilities, including all the scheduling and coordination of Road Scholar Community Engagement events. They will manage complex situations and multiple responsibilities simultaneously, mixing short and long-term planning with the urgency of immediate demands. The ideal candidate will have a strong background in planning, organizing, administration, excellent communication skills, comfortable with public speaking and the ability to work across departments to ensure the smooth execution of virtual and on-site events. This is a highly visible role within the organization working with senior leadership, and includes heavy Outlook, Zoom, and Confluence management. This full-time, non-exempt position will report into the AVP, OD and Training.

In this role, you will provide...

  • Support the development and execution of Road Scholar’s Community Engagement strategy by managing all logistical aspects of our internal virtual events and support the development of topics under the umbrella of employee wellness.
  • Lead with the scheduling and implementation of a robust monthly calendar of virtual and on-site events, including communications, external events management and assessment.
  • Manage and maintain the Work life and Community Engagement Confluence workflow and Confluence infrastructure, including the Community Engagement home page, inRoad hub, monthly poll, calendar and storing of recordings and content, as well as maintaining archives.
  • Lead our on-site Community Engagement pop-up program by determining hub locations within our guidelines, communicating with attendees, researching and booking both and activity and dinner.
  • Lead all event preparations by setting up rehearsals with hosts, preparing communications, offering support, and setting expectations.
  • Control all aspects of Zoom producing for events, including generating links, sending through outlook, creating breakout rooms, manage meeting settings, and serving as Zoom host for all events.
  • Collaborate with Office of the President by monitoring the budget when determining event schedule and tracking monthly spending, plus work with external vendors on payment.
  • Assist Internal Communications team with monthly staff assemblies, virtual holiday and summer parties by managing PowerPoint, producing events over Zoom, and compiling the feedback from the monthly evaluation.
  • Track monthly attendance and event Zoom data and report out monthly.
  • Develop all Community Engagement marketing materials.
  • Serve as main point of contact for all Community Engagement event questions and ideas.
  • Assist AVP of OD with hosting of all events.
  • Other duties as assigned.

We're seeking...

  • 3+ years of experience in an administrative support role, event planning or relevant professional experience.
  • Bachelor's Degree Preferred
  • Strong organizational and time management skills.
  • Impeccable attention to detail and accuracy.
  • Ability to multi-task, prioritize, take on responsibility and work well under deadlines.
  • Quick learner who follows direction well, works well on a team, and can work independently.
  • Ability to handle sensitive information with discretion.
  • Strong interpersonal skills, professionalism, and positivity, in a public facing role, with comfort interacting and supporting individuals of a variety of backgrounds.
  • Proficiency in Microsoft Office (i.e. Outlook, Word, Excel, etc.) and Zoom required. Familiarity with Citrix and Survey Monkey a plus.
  • Must have the ability to work from home with internet connection and direct connect via ethernet cable.
  • Remote office setting. Will spend an extended period of time sitting and using a computer. May also spend extended time on the telephone or operating other office machines requiring eye-hand coordination and finger dexterity.
