Responsibilities

The main purpose of the Sr. Document Controller’s job is to ensure compliance with set of Document Control policies and procedures

  • Manage the development of KSA national employees across the function to support corporate objectives, Saudization targets and the knowledge dissemination culture to ensure optimal building of internal capabilities and maximize their performance
  • Manage and conduct the affairs of the team with the highest standards of respect, integrity, accountability, agility, quality, safety and corporate governance
  • Ensure compliance with Code of Ethics policy and adopting company values across all function’s employees and provide leadership to reinforce a strong people culture and ethical business practices
  • Manage the adoption and utilization of systems and ERP in the function
  • Develop a document submittal plan with the help of Operation team at the beginning of project to identify that what stage what document is required to submit to Client / Consultant.
  • Checks that incoming and outgoing documents meet project requirements.
  • Periodically reviews of the Document Management System (*4Projects) to ensure effective use across the project.
  • Implement and maintain timely and effective document controls process, procedures and systems
  • Controls the distribution of documents according to project distribution matrix
  • Supervises inflow and outflow to ensure that changes and current revision status of documents are identified in conformance with ISO 9001:2015
  • Ensures that relevant version of applicable documents are available at points of use in conformance with ISO 9001:2015.
  • Checking of QA correctness of documents (Template, Document and page numbering, issue / revision identification, document number and classification, short signatures for originator, checkers and approved by etc)
  • Searches for documents and records required by project staff
  • Sorts and differentiates between documents & records and applies suitable identification to them
  • Responsible for the storage of the active and archived documents to prevent damage and deterioration. Also responsible for identifying, collecting, indexing, filing, maintaining and disposal of quality records
  • Responsible for maintaining the document control logs
  • Provide overdue pending document reports to follow-up with Client / Consultant.

Qualifications
  • BSC/BA or relevant certificates
  • Excellent Knowledge of Document Management Systems
  • Excellent interpersonal, and communications skills
  • Minimum 8years experience in DC in a comparable sized operation to ESEC
  • Experience in the Middle East is a strong plus
  • Excellent writing and IT skills
  • Fluent in English and preferably Arabic language
