The Project Document Controller ensures proper control, organization, and submission of all technical and quality documents related to Saudi Aramco and client projects. This role is essential for maintaining traceability, audit readiness, and client satisfaction through precise and disciplined documentation management.
- Office-based role with regular coordination with production, QA/QC, and procurement teams.
- Occasional client and third-party interactions.
- Must ensure compliance with company’s EHS and QMS policies.
Skills & Competencies – Project Document Controller (Saudi Aramco Projects)
1. Technical Competencies
- Strong understanding of Saudi Aramco documentation requirements, including SAEP, SAES, SAMSS, and project data book procedures.
- Proven ability to manage and control technical and quality documents such as PQP, ITP, NCR, MTC, calibration records, inspection reports, and submittal logs.
- Skilled in document numbering, version control, and transmittal management in compliance with company QMS and ISO 9001:2015 standards.
- Experience with Saudi Aramco online documentation systems (e.g., ShareKAT, SAP, Ariba, SmartPlant Foundation, or equivalent EDMS).
- Capable of compiling and finalizing Manufacturer Data Books (MDB) and ensuring complete traceability of project documentation.
2. Digital & System Skills
- Proficient in MS Office applications (Excel, Word, PowerPoint, Outlook) for document tracking and reporting.
- Skilled in PDF tools (Adobe Acrobat Pro) for reviewing, merging, and digitally signing project documentation.
- Familiar with SharePoint or cloud-based DMS for collaborative document control and version management.
3. Quality & Organizational Competencies
- In-depth understanding of ISO 9001:2015 documentation control requirements.
- Strong attention to detail, accuracy, and consistency in handling and filing technical records.
- Excellent organizational and record-keeping abilities, ensuring documents are easily retrievable and audit-ready.
- Competence in risk-based thinking and maintaining document control during internal and client audits.
4. Communication & Coordination Skills
- Effective communication with Saudi Aramco project representatives, QA/QC engineers, and project managers.
- Ability to coordinate interdepartmentally (Production, Quality, Procurement, and Engineering) to collect and verify documents.
- Capable of preparing clear document logs, progress reports, and audit summaries for management review.
- Fluent in English (spoken and written); Arabic communication skills are an added advantage.
