YOUR RESPONSIBILITIES WILL INCLUDE:
Organize and maintain principals’ correspondence , records and proactively follow up on pending matters across multiple functions.
Prepare correspondence for executive review & final approval.
Prioritize and handle multiple projects at any given time.
Manage travel arrangements, expense reports, and related documentation for senior leadership and other designated regional team members.
Organize, execute, and assist with team activities (staff meeting agendas & minutes, All-Hands meetings, off-sites, lunches, and team social events).
Build processes to drive efficiency in planning, reporting, and communication within the team, and track completion of key deliverables and follow-up on outstanding items.
React with appropriate levels of urgency to situations and events that require quick response or turnaround.
Maintain general and highly confidential documentation and files on a daily basis.
Coordinate and execute the logistics for meetings, conferences or projects from beginning to end.
Prepare special reports; gather, summarize, and analyze data.
Assist or lead key processes or projects.
Maintain calendars, schedule appointments and arrange meetings, conferences, and both domestic and international travel. Process and track expense reports.
Communicate widely across the organization and coordinate broader operational initiatives on behalf of the leadership team.
Back-up support to schedule customer visits and logistics.
Assist key leaders with ad hoc requests.
Work closely with the leadership team and departmental teams to provide support to the organization.
Education
Bachelor’s degree in Business Administration or a related field.
Proficient in Google Suite applications (Gmail, Docs, Sheets, Slides, and Drive), strong ability to manage and organize information using collaborative digital tools.
Experience & Skills Required
5–7 years of experience as an Executive Assistant or in a similar administrative role.
Prior experience in a multinational organization is preferred.
Demonstrated ability to handle confidential information with discretion.
Proven experience managing complex schedules, travel, and communication on behalf of senior leaders.
Excellent verbal and written communication skills.
Strong interpersonal and customer service skills.
Integrity, confidentiality, and professionalism in all interactions.
