We are not looking for someone who simply “handles admin.”

We are looking for someone who makes things happen.

Someone street-smart, highly organised, commercially aware, and resourceful enough to find solutions without waiting for step-by-step instructions. Someone who anticipates what may go wrong, acts before it becomes a problem, and keeps the office, leadership schedules, vendors, travel, facilities, and administrative commitments running without disruption.

This is a hands-on role. It requires ownership, responsiveness, sound judgement, and the ability to remain composed when priorities shift, plans change, or urgent requirements arise.

If your approach is to identify problems and pass them to someone else, this role will not suit you.

If you naturally take responsibility, close every loop, and find a practical way forward, we would like to meet you.

WHAT YOU WILL ACTUALLY DO

You will:

  • Take end-to-end ownership of office administration and facility management.
  • Maintain high standards across housekeeping, workplace upkeep, repairs, maintenance, and office readiness.
  • Manage vendors, service providers, procurement requirements, quotations, negotiations, contracts, and delivery follow-up.
  • Coordinate complete domestic and international travel arrangements, including flights, hotels, visas, transportation, itineraries, and last-minute changes.
  • Manage executive calendars, appointments, meetings, reminders, and follow-ups with precision.
  • Coordinate lease and rent renewals, administrative payments, invoices, petty cash, and supporting documentation.
  • Maintain accurate administration trackers covering contracts, renewals, payments, assets, maintenance, procurement, and vendor commitments.
  • Anticipate requirements, resolve operational issues, and ensure nothing is delayed because of poor planning or follow-through.
  • Handle sensitive information, leadership requirements, and company matters with absolute confidentiality.
  • Remain responsive when urgent business or administrative requirements arise outside normal working hours.

  • Understand that administration requires dependability, responsiveness, and strong follow-through.
  • Believe that identifying a problem is only the beginning; your real responsibility is helping resolve it.

  • Frequently need reminders to follow up or close pending matters.
  • Escalate every issue without first exploring practical solutions.
  • Struggle with changing priorities, urgent requests, or last-minute arrangements.
  • Consider trackers and documentation to be routine paperwork rather than essential controls.
  • Are uncomfortable being accountable for outcomes.
  • Approach administration as a standard desk job with strictly defined boundaries.

Non-negotiables:

  • Minimum 5 years of relevant experience in executive assistance, administration, office management, or facility coordination in the UAE.
  • Valid UAE driving licence is mandatory.
  • Strong experience in facility management, vendor coordination, procurement, travel management, payments, and office administration.
  • Proven ability to manage calendars, meetings, renewals, maintenance requirements, petty cash, invoices, and administrative trackers.
  • Strong communication, negotiation, coordination, and stakeholder-management skills.
  • Excellent attention to detail, time management, confidentiality, and professional judgement.
  • Proficiency in Microsoft Office and administrative reporting tools.
  • Bachelor’s degree in Business Administration, Management, or a related discipline.
