Reporting to the Chief Communications & Citizenship Officer, the Senior Project Coordinator provides essential administrative and organizational support for the Corporate Communications & Citizenship division. This role is a key partner to the Chief Communications & Citizenship Officer and his direct reports, with additional support for the broader divisional leadership team, as needed. This is a hybrid position, with the expectation that the Senior Project Coordinator will be in the office a minimum of two days per week. The ideal candidate will be a highly organized, proactive professional with exceptional attention to detail and the ability to manage a wide range of administrative tasks in a fast-paced environment.
This role is open to the mobile and resident personas. This is a hybrid position located in our Boston office, with an expectation of two or more days of in-office work per week.
What You’ll Do

Executive and Divisional Leadership Support: Provide comprehensive administrative support for the divisional leadership team (SVP + four direct reports), including complex calendar management, coordinating travel itineraries, preparing expense reports, coordinating meeting logistics, including the preparation and distribution of materials and agendas, and serving as a primary point of contact to triage incoming communications (phone, email).

General Office Administration: Oversee daily office operations for the division, including ordering and maintaining supplies, managing team subscriptions, maintaining distribution lists and SharePoint sites, and serving as the primary point of contact for departmental administrative needs.

Vendor & Invoice Coordination: Manage the processing of vendor contracts, purchase orders (POs), and invoices, ensuring timely and accurate submission and payment while liaising with Accounts Payable.

What You’ll Bring

Bachelor’s degree or equivalent work experience.

A minimum of 5 years of experience providing administrative support in a professional office environment.

Proven ability to support multiple stakeholders, manage competing priorities, and multitask effectively.

A proactive, solutions-oriented mindset with strong problem-solving skills.

Proficiency across the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and a strong aptitude for learning new office systems.

Excellent communication and interpersonal skills.

A high level of discretion and experience handling confidential information.

Salary Range: $73,170.00 - $89,430.00
The job posting range is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. We may ultimately pay more or less than the posted range, and the range may be modified in the future. An employee’s pay position within the salary range will be based on several factors including, but limited to, relevant education, qualifications, certifications, experience, skills, performance, shift, travel requirements, sales or revenue-based metrics, and business or organizational needs and affordability.
This job is also eligible for variable pay.
