SSVF Data Intake Specialist

JOB SUMMARY

The data specialist main responsibility is to facilitate the processing of client data in the Supportive Services for Veteran Families program. All client data is received by the specialist and it is their responsibility to maintain records by verify and documenting data. The data specialist ensures quality information is input into the system and meets contractual and accreditation expectations.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Completes, collect, screens, and distribute cases within the Homeless Management Information Systems (HMIS)
  • Performs administrative and clerical supportive services and veteran families program including word processing, data entry and filing.
  • Completing Temporary Financial Assistance (TFA) from all staff under the SSVF program when company card is used and Check request processed.
  • Develops and maintains filing and record system.
  • Prepare statistical and narrative reports as assigned.
  • Records, types and distributes minutes of meeting.
  • Maintains inventory of office supplies and place orders to replenish them when appropriate.
  • Receives incoming telephone calls and greets visitors in a professional manner.
  • Monitors and reports on key performance indicators
  • Coordinate with Northshore team as needed for SSVF.
  • Understand company systems such as but not limited to file bound, smart data, HMIS etc.
  • Process check request provided by case management team
  • Coordinate and assist in team meetings, zoom/ring central call coordination and gather information as needed by SSVF staff.
  • Code credit card purchases in Smart data system weekly.
  • Assist with other programs as needed under the Supportive Service Dept.
  • Assist with outreach coordination in the community and attend Stand Down events
  • Complete spreadsheets and other data driven components necessary for SSVF program operations.
  • Performs other duties as assigned.

  • Adhere to the designated dress code as stipulated for the specific role.

KNOWLEDGE, SKILLS AND ABILITIES:

This position requires knowledge, skills and abilities equivalent to:

  • A high school diploma, and two years of human service experience.
  • Excellent mathematics skills, verbal and written communication ability and computer familiarity.
  • Proficiency in using a personal computer and knowledgeable of spreadsheet, database and word processing software.

This position may require incumbent to engage in overnight travel, as well as, local travel appropriate to the performance of duties and responsibilities. As such, incumbent must have:

  • Current driver’s license issued by state of residence
  • Current Vehicle Inspection decal
  • Current vehicle insurance
  • Current vehicle registration in state of residence
  • Satisfactory Motor Vehicle Report

PHYSICAL REQUIREMENTS:

Work is primarily performed in a normal office environment generally while seated at a desk.
