Position Title: Staff Accountant / Accounting Administrative Specialist (Contract – 1099)Position Overview
We are seeking a highly organized, detail-oriented, and tech-savvy Staff Accountant / Accounting Administrative Specialist to support accounting operations, tax administration, and financial coordination across multiple entities.
This role is heavily accounting-focused, with responsibilities spanning bookkeeping, tax support, financial recordkeeping, and compliance tracking, while also assisting with administrative coordination and contractor management.
You will work closely with leadership and the Finance & Tax Manager to ensure accurate financial records, timely tax filings, and efficient handling of IRS matters.
The ideal candidate has strong accounting fundamentals, excellent Excel skills, and experience managing financial data across multiple entities in a fast-paced environment.
This is a contract position (1099), not an employee role.
Core ResponsibilitiesAccounting & Financial Management (Primary Focus)
- Perform day-to-day accounting support, including data entry, reconciliations, and transaction tracking
- Maintain accurate general ledger records across multiple companies
- Assist with monthly and quarterly close processes
- Track and categorize expenses, revenues, and intercompany transactions
- Support preparation of financial statements and internal reports
- Maintain organized and audit-ready financial documentation
- Assist with budget tracking and variance analysis
- Ensure proper documentation for tax credit transactions and financial reporting
Tax & IRS Support
- Assist in preparation and organization of federal and state tax filings
- Support multi-entity tax compliance tracking and deadlines
- Handle IRS correspondence, notices, and follow-ups
- Maintain records of filings, credits, and compliance documentation
- Assist with tracking tax credit transactions, filings, and investor-related documentation
Financial Systems & Recordkeeping
- Maintain and update accounting systems and financial databases
- Ensure structured and consistent chart of accounts and file organization
- Improve workflows for financial tracking, reporting, and documentation
- Support implementation of automation tools where applicable
Contractor & Expense Coordination (Secondary)
- Track contractor payments, invoices, and deliverables
- Assist with managing freelancers on platforms such as Upwork
- Ensure proper documentation and approval of expenses and contracts
- Coordinate financial aspects of contractor agreements
Operations & Administrative Support
- Coordinate across multiple entities to ensure financial consistency
- Assist with financial documentation for proposals, deals, and investors
- Support leadership with high-priority financial and operational tasks
- Manage multiple concurrent projects with tight deadlines
QualificationsEducation
- Associate or Bachelor’s degree in Accounting, Finance, or related field preferred
Required Skills & Experience
- Strong proficiency in Excel / Google Sheets (required)
- Working knowledge of accounting principles (GAAP basics)
- Experience with bookkeeping, reconciliations, or accounting support roles
- Familiarity with multi-entity accounting environments (preferred)
- Experience with tax processes or IRS correspondence (preferred)
- Experience with accounting software (QuickBooks or similar) is a plus
- Experience with contractor platforms (Upwork) is a plus

Compensation Structure
