Staff Accountant - HOA/Property Management

Company Overview

Genesis is a growing HOA management company providing financial and operational services to 49 community associations. Our team is committed to financial accuracy, transparency, and exceptional service to Board Members and homeowners. We are seeking a detail-oriented Staff Accountant to support portfolio accounting operations and work closely with our Senior Accountant and Community Managers.

Position Summary

The Staff Accountant is responsible for full-cycle accounting support for a portfolio of homeowner’s associations. This role oversees accounts receivable, accounts payable, reconciliations, financial reporting support, and collaboration with community managers to ensure timely and accurate financial activity. The ideal candidate has property management or multi-entity accounting experience and thrives in a fast-paced, high-volume environment.

Key Responsibilities

  • Accounts Receivable & Owner Accounts
  • Process owner assessments, dues, and special assessments
  • Post payments and monitor account balances
  • Manage delinquency follow-up and collections activity
  • Work with Community Managers on escalations and payment plans
  • Maintain accurate homeowner ledgers

Accounts Payable & Vendor Management

  • Review and code vendor invoices
  • Verify contract scope and work completion
  • Process payments in accordance with governing documents and approvals
  • Communicate with vendors to resolve discrepancies

Bank & Account Reconciliations

  • Perform monthly bank reconciliations for multiple associations
  • Reconcile operating and reserve accounts
  • Research and resolve variances
  • Financial Reporting & Month-End Close
  • Assist with month-end close processes
  • Prepare Balance Sheet and Profit & Loss statements
  • Support production of Board financial packages
  • Ensure accuracy of general ledger activity

Audit, Tax & Compliance Support

  • Assist with annual audits and reviews
  • Prepare year-end financial documentation
  • Support tax return preparation
  • Ensure compliance with GAAP and association governing documents

Internal Controls & Process Improvement

  • Maintain and strengthen accounting controls
  • Identify and implement workflow efficiencies
  • Ensure data accuracy for financial reporting deadlines

Team Collaboration

  • Partner with Community Managers regarding financial matters
  • Support accounting clerical staff as needed
  • Respond to Board and homeowner financial inquiries

Systems & Tools

  • Experience with the following (preferred):
  • CINC – HOA management software
  • AppFolio – Property management/accounting platform
  • QuickBooks – General ledger and reporting
  • Microsoft Excel (intermediate level)

Qualifications

  • Associate or Bachelor’s degree in Accounting or related field
  • 2+ years of accounting or bookkeeping experience
  • HOA, property management, or multi-entity accounting experience strongly preferred

  • Intermediate Excel skills (sorting, filtering, reconciliations, data analysis)
  • Experience managing high-volume transactions
  • Proficiency in accounting software systems

  • Professional communication with homeowners and Boards (AR matters)
  • Vendor coordination (AP matters)
  • Clear written and verbal communication across teams

  • High level of discretion with confidential financial data
