Job Purpose
The Staff Camp Assistant is responsible for the day-to-day supervision, coordination, and follow-up of all staff camp operations and assigned company facilities. This includes cleanliness, basic maintenance follow-up, staff transportation scheduling, housekeeping supervision, waste management, uniforms coordination, and related administrative and ERP purchase requests. The role ensures a safe, clean, and well-organized living and working environment for SDES employees.
Key Responsibilities
1. Staff Camp Management
- Oversee daily operations of staff camps, ensuring cleanliness, hygiene, and proper living conditions.
- Conduct regular inspections of rooms, common areas, bathrooms, corridors, kitchens, and external areas.
- Monitor and report any issues related to camp facilities, safety, or accommodation standards.
- Coordinate with the Maintenance Department for repair works and follow up until completion.
2. Cleaning & Housekeeping Supervision
- Supervise housekeeping staff, cleaners, tea boys, and related support staff.
- Ensure cleaning schedules are followed for:
- Staff camps
- Company corridors
- Bathrooms and common areas
- Offices and shared facilities (as assigned)
- Ensure cleaning materials and tools are properly used and maintained.
3. Transportation & Bus Operations
- Coordinate and schedule staff transportation trips between:
- Camp to work
- Work to camp
- Prepare and manage transportation schedules based on operational requirements.
- Supervise bus drivers and ensure adherence to schedules, safety rules, and company policies.
- Report any transportation issues or incidents to the line manager.
4. Waste Management & General Facilities
- Manage garbage collection and disposal for camps and assigned company facilities.
- Ensure waste is handled properly and in compliance with health and safety standards.
- Coordinate with cleaning teams to maintain orderly and hygienic environments.
5. Maintenance Coordination (Non-Technical)
- Identify and report minor maintenance issues (e.g., lighting, plumbing leaks, doors, fittings).
- Coordinate with the Maintenance Department to follow up and push for timely repairs.
- Handle only normal and minor issues unless instructed otherwise by the Admin Superintendent.
- Major maintenance issues will be reported by relevant departments unless assigned specifically to him.
6. Uniforms, PPE & Store Coordination
- Coordinate with the line manager and storekeeper regarding staff uniforms, safety shoes, and related items.
- Assist in distribution, replacement, and tracking of uniforms and footwear as per company policy.
7. ERP & Purchase Requests
- Prepare and process purchase requests related to:
- Camp requirements
- Cleaning materials
- Furniture
- Stationery
- Painting and minor facility needs
- Submit and follow up purchase requests through the company ERP system.
8. Furniture, Painting & Assets
- Supervise painting works for camps and company facilities when assigned.
- Coordinate handling, placement, and condition of furniture in camps and facilities.
- Ensure proper use and storage of furniture and office stationery.
9. Coordination & Reporting
- Coordinate daily activities with the line manager and Admin Superintendent.
- Submit regular reports on camp status, transportation, housekeeping, and outstanding issues.
- Escalate urgent issues promptly through the proper reporting line.
Qualifications & Experience
- High school certificate or diploma (preferred).
- Minimum 2–4 years experience in camp management, facilities, or housekeeping supervision.
- Experience in logistics, industrial, port, or large workforce environments is an advantage.
Skills & Competencies
- Strong organizational and coordination skills.
- Ability to supervise staff and drivers effectively.
- Basic knowledge of maintenance and facility operations.
- Familiarity with ERP systems or willingness to learn.
- Good communication skills.
- Ability to work under pressure and handle multiple tasks.
