Staffing Coordinator

JOB SUMMARY

Snake Oil Cocktail Company is seeking a Temporary Staffing Coordinator to provide cross-training coverage and staffing support through the end of May 2026, with potential for extension based on business need. Reporting to the VP of Operations, this role supports day-to-day staffing coordination for events across the SOCC portfolio, including JULEP, VESPER, Chapel, and Bramble Bay. The Staffing Coordinator works closely with the Event Operations team and Sales team to ensure all events are appropriately staffed with qualified personnel, and uses NOWSTA to manage scheduling, communications, and time and attendance.

This is a remote-eligible position for candidates located in California, Virginia, Texas, Florida, Georgia, or Arizona. The role requires strong availability alignment with SOCC's event calendar, including evenings and weekends, and consistent responsiveness during event operational hours.

ESSENTIAL FUNCTIONS

Staffing Coordination

  • Use NOWSTA staffing software to schedule qualified bar and support staff for all assigned events across the SOCC portfolio
  • Make calls, send texts, and send emails to confirm staffing for events in a timely manner
  • Monitor the staffing hotline and respond to staff communications during operational hours
  • Review staffing plans with the Event Operations team to confirm adequate staffing levels, skill mix, and coverage
  • Write staffing plans for event teams with input from Operations and Sales
  • Advise leadership on staffing capacity, skill gaps, and workforce readiness ahead of upcoming events
  • Collaborate with the Sales team and VP of Operations to resolve urgent staffing needs or last-minute changes
  • Provide pre-shift huddles for large, complex, or VIP events as directed

Time, Attendance, and Compliance

  • Facilitate daily time card management for event staff in NOWSTA
  • Monitor and follow up with staff regarding break compliance and missed clock-ins and clock-outs
  • Reconcile discrepancies between scheduled and worked hours to protect against payroll overage; investigate and resolve issues
  • Relay scheduling or hours discrepancies to the applicable sales representative for client invoice adjustments
  • Assist with tracking completion of required staff certifications including Food Handler, ABC RBS, and Harassment Training

Staff Communication and Documentation

  • Serve as a consistent point of contact for event staff during scheduling and event windows
  • Document staff incidents and escalate to the Event Operations Manager or leadership as appropriate
  • Execute general written notices or documentation for catering staff regarding standard incidents, with manager review
  • Relay performance feedback and coaching notes to staff remotely via phone, text, or platform messaging as directed by the Event Operations Manager

Operational Support

  • Assist with constructing event pull sheets for bar events with input from Sales and management
  • Perform cost tracking and flag scheduling-related cost concerns to the Event Operations Manager
  • Support general operations reporting and data requests from the Event Operations Manager or VP of Operations
  • Participate in weekly operations and manager meetings remotely via video conference

REQUIRED SKILLS AND QUALIFICATIONS

  • 1–3 years of staffing coordination, scheduling, or event operations experience, preferably in hospitality or catering
  • Experience with NOWSTA or comparable workforce management or scheduling software strongly preferred
  • Strong sense of urgency; ability to quickly prioritize competing needs and solve problems under time pressure
  • Calm, professional demeanor under pressure with sound judgment when communicating with staff
  • Exceptional attention to detail, particularly in scheduling accuracy and hours reconciliation
  • Ability to handle confidential employee and operational information with discretion
  • Strong written and verbal communication skills; responsive and clear in all staff-facing communications
  • Proficiency with Excel or Google Sheets for data tracking and basic cost analysis
  • Ability to work independently with limited supervision in a remote environment
  • Availability to work a varied schedule aligned with the SOCC event calendar, including evenings and weekends

WORK LOCATION AND REMOTE ELIGIBILITY

This is a remote position. Candidates must be located in and authorized to work from one of the following states:

  • California
  • Virginia
  • Texas
  • Florida
  • Georgia
  • Arizona

Candidates located outside of these states will not be considered at this time. Reliable internet access, a dedicated workspace, and consistent availability during SOCC operational and event hours are required.

COMPENSATION

$20.00 – $26.00 per hour, commensurate with experience. Non-exempt; hourly.

ASSIGNMENT DURATION

This is a temporary position with an anticipated end date of May 31, 2026. Extension beyond May 31 is possible based on business need and performance. This temporary assignment does not constitute a guarantee of continued or permanent employment.
