We are seeking a highly motivated, organized, and professional individual to join our team in Riyadh as a Receptionist & Staffing Coordinator, ensuring efficient office operations and seamless coordination of staffing requirements for events.

Job Overview:

We are looking for a dynamic and professional Receptionist & Staffing Coordinator to manage front desk operations and coordinate staffing logistics for events. The ideal candidate will be the first point of contact for clients and visitors, while also handling staffing responsibilities and ensuring all staffing requirements are met efficiently.

Key Responsibilities:

Receptionist Duties:

  • Greet visitors, clients, and staff in a professional and friendly manner.
  • Answer, screen, and direct incoming calls and inquiries.
  • Handle office correspondence, including emails and postal mail.
  • Maintain the office calendar, schedule meetings, and coordinate appointments.
  • Ensure the office is organized and well-stocked with necessary supplies.
  • Manage the office's visitor log, ensuring all necessary protocols are followed.

Staffing Coordinator Duties:

  • Coordinate the recruitment, onboarding, and placement of temporary staff for events.
  • Communicate with clients to understand staffing requirements for events and ensure the right staff are assigned.
  • Manage staff schedules and track attendance.
  • Assist in maintaining the database of casual staff, including their availability, skills, and certifications.
  • Act as a liaison between staff and clients, ensuring smooth communication and satisfaction.
  • Handle any staffing issues, ensuring quick resolutions and client satisfaction.

Qualifications & Skills:

  • Proven experience as a receptionist or in a similar administrative role.
  • Experience in event staffing or coordination is a plus.
  • Strong communication skills in both English (and Tagalog) are essential; Arabic is a plus.
  • Excellent organizational skills with a keen eye for detail.
  • Ability to work in a fast-paced environment and handle multiple tasks efficiently.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Friendly, approachable, and professional demeanor.
  • Ability to work well in diverse and inclusive teams.

Requirements:

  • Minimum 2 years of experience in a receptionist or administrative role.
  • Prior experience in event staffing or coordination is a plus.
  • Strong interpersonal skills and the ability to manage diverse teams.
  • Ability to work under pressure and meet deadlines.
  • Flexible and adaptable to changing work conditions.
