The Store & Purchase Executive is responsible for managing all store operations, ensuring proper receipt, storage, and issuance of materials, along with handling purchasing activities. The role ensures cost-effective procurement of quality materials, accurate stock management, vendor coordination, and compliance with company policies and standards.
Key Responsibilities:
Store Management:
- Maintain proper records of incoming and outgoing materials.
- Ensure timely receipt and storage of goods as per standard procedures.
- Conduct regular stock checks and maintain minimum stock levels.
- Monitor expiry dates, damages, and wastage to minimize losses.
- Issue materials to concerned departments against approved requisitions.
- Maintain cleanliness and safety standards in the store.
Purchase Management:
- Identify and evaluate suppliers/vendors for quality and cost-effectiveness.
- Obtain quotations, prepare comparative statements, and negotiate prices.
- Raise purchase orders and ensure timely delivery of materials.
- Develop and maintain vendor relationships to ensure consistent supply.
- Coordinate with user departments to understand requirements and specifications.
- Track purchase orders and follow up with suppliers for on-time deliveries.
Inventory & Documentation:
- Update and maintain inventory records in software/manual registers.
- Prepare and submit daily/weekly/monthly stock reports to management.
- Ensure all documentation is as per company policies and audit requirements.
- Assist in monthly/annual physical stock verification.
Cost & Compliance:
- Ensure purchases are within budget and follow company approval procedures.
- Monitor and control pilferage, misuse, or overconsumption of stock.
- Adhere to statutory and company procurement guidelines.
Key Skills & Competencies:
- Strong knowledge of storekeeping and purchasing processes.
- Negotiation and vendor management skills.
- Good communication and interpersonal abilities.
- Proficiency in MS Office and inventory management software (IDS, SAP, or similar).
- Attention to detail, accuracy, and organizational skills.
- Knowledge of F&B and hotel-related consumables (preferred for hospitality industry).
