The Storekeeper & Purchasing Officer is responsible for managing healthcare inventory and procurement activities, ensuring the continuous availability of medical supplies, pharmaceuticals, consumables, and equipment. The ideal candidate will be a licensed Pharmacist with hands-on experience in both purchasing and store/inventory management within a healthcare setting.
Core ResponsibilitiesPurchasing & Procurement
- Source, evaluate, and manage vendors for pharmaceuticals, medical supplies, consumables, and equipment.
- Obtain quotations, negotiate pricing, and ensure cost-effective purchasing in line with approved budgets.
- Prepare, issue, and monitor purchase orders through ERP or procurement systems.
- Follow up with suppliers to ensure timely delivery and resolve quality or supply issues.
- Maintain strong relationships with suppliers to ensure reliability and compliance.
Store & Inventory Management
- Receive, inspect, and record incoming medications, medical supplies, and consumables.
- Maintain accurate inventory records, including batch numbers, expiry dates, and storage conditions.
- Monitor stock levels and coordinate timely replenishment to avoid shortages or expiries.
- Ensure proper storage, labeling, and segregation of pharmaceutical and medical items as per healthcare standards.
- Issue stock to departments based on approved requisitions and maintain movement records.
Compliance & Quality Control
- Ensure all procurement and store activities comply with DHA regulations, pharmacy laws, and internal policies.
- Verify that medicines and medical items meet regulatory approvals and quality specifications.
- Support audits, inspections, and regulatory reviews with complete and accurate documentation.
- Ensure proper handling and disposal of expired, damaged, or recalled items.
Financial & Reporting Responsibilities
- Monitor procurement budgets and control purchasing costs.
- Coordinate with finance for invoice verification and reconciliation.
- Prepare regular reports on inventory status, purchases, expiries, and supplier performance.
Coordination & Communication
- Liaise with pharmacists, doctors, nurses, laboratory, finance, and operations teams to assess requirements.
- Support management with procurement planning and cost-optimization initiatives.
- Handle supplier communication, complaints, and performance evaluations.
RequirementsEducation & Experience
- Bachelor’s degree in Pharmacy (BPharm / PharmD) — preferred.
- Valid DHA Pharmacist license or eligibility preferred.
- Minimum 2–3 years of experience in a healthcare setting with exposure to:
- Pharmacy purchasing
- Medical store/inventory management
Skills & Competencies
- Strong knowledge of pharmaceutical procurement, medical inventory, and regulatory compliance.
- Proficiency in ERP systems and MS Office.
- Excellent negotiation, organizational, and coordination skills.
- High attention to detail, especially with expiries and batch tracking.
- Ability to work independently in a fast-paced healthcare environment.
