Student Assistant - Information Technology Support (Hybrid)

The FI$Cal system modernized how the state of California manages its finances and is one of the largest and most dynamic IT and business-transformation undertakings in California’s history. It eliminates the need for hundreds of independent legacy systems by combining the state’s accounting, budgeting, cash management, and procurement operations into a single financial-management system.


The Financial Management System for California (FI$Cal) is seeking to hire two (2) student assistants to support the Information technology division of the FI$Cal system, a billion-dollar statewide project. This position is a supporting role in the Information Technology Division. The desired candidates must be comfortable working in an Information Technology setting.

The student assistants will work with IT staff to develop or update the systems documents, review information technology processes and procedures, and/or update them to make them current using the standard documentation template. The student assistants may need to analyze the data using Excel or other technical means to create graphs and presentations. Students may assist in configuring or setting up internal tools.

Employment

This is a part-time, temporary, non-benefited, student position. Employment in all positions with University Enterprises, Inc. is dependent upon the mutual consent of University Enterprises, Inc. and the employee. This means that either University Enterprises, Inc. or the employee can, at any time, terminate the employment relationship at will, with or without cause.

Depending on the type of position you are applying for, a pre-employment background check consisting of one or more of the following may be conducted: employment history, professional references, criminal check: educational verification (degree, license, or official transcript) or DMV clearance. Applicants will be required to pass required pre-employment checks to the satisfaction of University Enterprises, Inc. (UEI) and the hiring Agency or Department.

UEI does not allow students to hold more than one UEI Job at a time, or work in more than one account per pay period. UEI employees who are considering leaving their current UEI student assistant position for a different UEI student assistant position should inform their supervisor in writing and provide at least a week’s notice.

UEI is not a multi-state employer. UEI only employs candidates who live and work in the state of California. If selected for the position you must reside in California and all work must be performed in the state of California throughout the course of employment.


Prerequisites

Must be a college student attending classes during the regular term (Fall, Spring and Winter, if applicable), at one of the accredited colleges or universities on our affiliation list.

Students must be enrolled in at least: six-semester units or nine quarter units for undergraduate students; four-semester units or six quarter units for graduate students.

Students declared major must match the major(s) listed in the job posting.


Majors/Fields of Study

Computer Science and Engineering, Computer Information Systems, Information Technology related majors, Math major, Informatics, Business and communications, Business Information systems, or Business Analytics.


Work Schedule

F lexible workdays and work hours, Monday – Friday, between 8 AM – 5 PM. The final work schedule will be determined by the supervisor.


Additional Work Schedule

Student Assistant and Graduate Assistant employees generally work up to 24 hours per workweek (Sunday – Saturday) during the academic year and up to 40 hours per workweek during breaks; (winter, spring, and summer).


Minimum Qualifications

  • Possess a working knowledge of Microsoft applications including Word, Excel, and PowerPoint, etc.
  • Knowledge or experience with Programming.

Preferred Qualifications

  • State agencies, when hiring for internships and student assistant positions, shall give preference to a qualified applicant who is, or has been, a dependent child in foster care, a homeless youth, a formerly incarcerated youth, or a victim of human trafficking pursuant to Government Code section 18220. The preference shall be granted to applicants who are up to 26 years of age. Please note that prior to appointment, individuals claiming preference under one of these categories will be required to furnish documentation establishing their eligibility.
  • For any applicant who is eligible under Government Code section 18220, and who is not selected for the position applied for, the hiring authority shall document and retain in its records the reasons why the individual was not selected. This documentation shall be subject to compliance reviews conducted by the State Personnel Board. The documentation should specifically indicate how the candidate did not meet the published minimum requirements for the position; for example, not furnishing proof of application or enrollment in college for a student assistant position, or not meeting the basic requirements stated for an internship position (e.g., prerequisite work experience or education).

Duties and Responsibilities

  • In a learning capacity, the student assistant will review and update procedure documents for quality assurance.
  • In a learning capacity the student assistant will assist the IT support team to resolve routine tickets.
  • In a learning capacity, the student assistant will assist with various information technology project tasks such as reconciling data from multiple sources, creating presentations, and supporting Information Technology managers to manage internal applications/tools.
  • In a learning capacity, the student assistant will support Information Technology managers and staff on various tasks, e.g. documentation, research, analysis, training, and business support activities.
  • In a learning capacity, the student assistant will develop and update reports, plans, and process documentation.

Physical Requirements

Sit for extended periods; frequently stand and walk; manual dexterity and hand-eye coordination; corrected hearing and vision to normal range; verbal communication; use of office equipment including computer workstations, telephones, calculators, copiers, printers, and scanners with or without reasonable accommodation.


Working Conditions

Work is performed in a hybrid environment.

Students/Employees will be required to work according to the current UEI remote workplace policy and sign a UEI Work from Home Agreement. The decision to permit an employee to work from home is at the discretion of the supervisor or employer and may, at any time and with or without cause, unilaterally terminate the option to work from home.
