Student Recruitment and Admissions Coordinator

Objective: The principal objective of the post is to support the Student Recruitment & Admissions Manager to drive student attraction to RCSI Bahrain and to promote RCSI Bahrain’s programmes and co-ordinate the admissions process from the point of initial enquiry by prospective students to registration. To enhance conversion of applications to offer accepted.

Key interfaces: Managers of Marketing and Communications, Marketing team, RCSI Bahrain staff, RCSI Dublin Student Recruitment and Admissions team, 3rd Party service providers.

Reporting to: Student Recruitment and Admissions Manager

Your responsibilities within this role include, but are not limited to the following:

Key Responsibilities

Recruitment:
  • Implement student attraction plans for all programmes offered by RCSI Bahrain in consultation with the Student Recruitment and Admissions Manager.
  • Attend appropriate school visits / conventions and career fairs and other recruitment events within Bahrain and on occasion travel in the GCC and beyond as required.
  • Deliver engaging presentations and talks to schools.
  • Support campus tours and schools visits to the University in support of recruiting of future medicine and nursing students.
  • Support the Student Recruitment and Admissions Manager to build meaningful and long-lasting relationships with key schools and government bodies across the Middle East region, through the planning, organisation and co-ordinating of international and local school visits, events and activities.
Admissions:
  • Maintaining and building the University’s reputation by providing accurate and timely information regarding the University’s Programmes and the admissions process to applicants and their parents/guardians (i.e., by phone, email and face-to-face).
  • Ensuring applications are expedited through the admissions process as efficiently as possible.
  • Ensuring information pertinent to the admissions process is captured and stored in an accurate and timely fashion.
  • Taking calls to parents and applicants with enquiries to give best in class experience.
  • Liaising with applicants to ensure documentation required for consideration and for interview is received.
  • Shortlisting applicants for interview as per minimum entry requirements and arranging interviews for suitable applicants and coordinating needs with internal stakeholders (i.e., academic interviewers)
  • Communicating application updates and outcomes to applicants.
  • Liaising with applicants who are successful at interview with a view to progressing their application to registration including managing the final outcome offer letters.
  • Conversion of offer holders to accepted offer holders.
  • Liaising with the Student Fees Officers to ensure payments received are documented.
  • Working closely with the Registration and Student Records team and managing the authentication process for applicants.
  • Accurately entering and regularly updating applicant details in the student system (Quercus) and ZOHO Creator.
  • Coordinating the registration of students to the relevant programmes in consultation with Admissions Team lead and SRAM and liaising with all the required departments to complete the registration process.
  • Preparing reports as required by the Admissions Team and the SRAM and Senior Management.
  • Attending meetings and providing input regarding admissions as per SRAM.
  • Understanding and being able to articulate effectively to applicants and parents/guardians our value proposition.
Enquiry UX:
  • Maintaining a comprehensive database / CRM platform to include all career counsellors and student contacts in addition to up-to-date information regarding any engagement the university had with these audiences.
Stakeholder Relationships:
  • Build and maintain key relationships with governing bodies such as the Ministry of Education and the Higher Education Council of Bahrain.
Marketing:
  • Work with the Marketing Manager and team to ensure that all marketing is up to date, accurate and available at required times.
  • Support the updating of the University website information.
  • Support market insight generation programme at RCSI Bahrain.
Others:
  • Ensure that all RCSI and RCSI Bahrain policies and procedures are adhered to.
  • Dealing with external bodies as required.
  • Undergoing programmes of training and development as may be required from time to time.
  • Representing the best interest of RCSI and RCSI Bahrain at all times.
  • Performing such other duties as may be required from time to time.


Requirements

Key Requirements/Competencies:
  • 3+ years experience in a similar field/area.
  • Fluent in English (speaking and writing).
  • A higher education qualification, preferably in a business or management-related area or equivalent through experience.
  • Technical skills - previous experience using systems.
  • Advanced computer skills and experience in Microsoft Excel, Word and Outlook in particular.
  • Highly proficient in reporting, using databases (V look up, analysis of raw data, trend reporting).
  • An effective communication style appropriate to audience and situation.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • A methodical, reliable self-starter with the capacity to work effectively on own initiative or as a team member.
  • Ability to take ownership and accept accountability for initiatives, manage issues and meet agreed targets upon commitment.
  • Commitment to continuously improve the efficiency of the Admissions process and the ease at which applicants can progress through the process.
  • Highly motivated with an ability to work on his/her own initiative.
  • Excellent interpersonal and communication skills.
  • Ability to act decisively and meet deadlines.
  • Enthusiasm & drive to succeed in continuing to deliver the vision of the RCSI Brand and University.
  • Must be prepared to work outside normal business hours and at weekends as needed.
