1. Shipment and Operations Monitoring
- Track containers and operations status regularly and update operational tracking sheets and shipment dashboards twice daily.
- Coordinate end-to-end logistics processes including freight booking, customs documentation, and last-mile delivery.
- Escalate delays with actionable recommendations.
2. Cross-Functional and Vendor Coordination
- Engage effectively with Sales, Accounting, Warehouse, Documentation, and external partners such as freight forwarders and 3PLs.
- Ensure alignment across teams for timely execution of logistics activities.
3. Support compliance with regulatory and company standards.
- Participate in regular operational review meetings.
- Provide performance insights, identify gaps, and recommend process enhancements.
- Perform other tasks as may be assigned by the immediate superior.
4. Record Maintenance
- Maintain organized financial records and produce reports and statements as needed, ensuring proper documentation of all transactions.
- Prepare books up to the trial balance stage, ensuring that all financial records are accurately entered and adjusted.
- Investigate and resolve any discrepancies between bank records and accounting entries.
- Accurately record and update all financial transactions in the monitoring system.
- Work on historical financial data for the past 3 years, ensuring that all records are accurately reconstructed and updated from the scratch.
5. Export Logistics & Documentation
- Prepare and verify export documents such as commercial invoices, packing lists, shipping bills, and certificates of origin.
- Liaise with freight forwarders, CHA (Customs House Agents), and shipping lines for booking containers and tracking shipments.
- Ensure compliance with phytosanitary, fumigation, and export quality standards.
6.Order Management & Customer Coordination
- Track customer orders from confirmation to shipment and update buyers on delivery timelines.
- Support coordination between production, quality, and logistics teams to meet export schedules.
- Maintain customer order records and assist in preparing export MIS reports.
7. Standard Operating Procedures (SOPs)
- Develop, document, and maintain Standard Operating Procedures (SOPs) for all functions and workflows under their responsibility.
- Ensure SOPs are aligned with company policies, compliance requirements, and best practices.
- Regularly review and update SOPs to reflect operational changes, improvements, or regulatory updates.
- Ensure team members are trained on and consistently follow the SOPs.
- Collaborate with the Internal Auditor and CEO for review and approval of SOPs.
