The Clearance & Procurement Executive is responsible for managing end-to-end procurement and customs clearance operations to ensure timely and cost-efficient availability of stock. This role includes handling purchase orders, coordinating Importations, managing customs clearance documentation, liaising with suppliers, freight forwarders, and authorities and ensuring compliance with UAE/GCC customs regulations.
KEY RESPONSIBILITIES
Customs Clearance

Manage daily import and export clearance activities for air, sea and land shipments.

Prepare, review, and ensure accuracy of customs documentation (BL, invoice, packing list, COO, HS codes, etc.).

Liaise with Dubai Customs, across border port authorities, and freight forwarders for timely clearance.

Ensure compliance with UAE/GCC Municipality & customs regulations.

Monitor clearance delays, detentions, duties, VAT assessments, and resolve issues promptly.

Maintain accurate clearance reports, shipping records, and Departmental KPIs.

Support customs audits, Municipality inspections, FTA authorities and provide the required documentation.

Supervise Clearance Team member and provide support during shipments.
Procurement & Logistics

Issue and manage purchase orders via AX system.

Coordinate with suppliers for draft shipping documentations and smooth clearance.

Verify shipping documents and ensure products meet shelf-life requirements.

Monitor order movement, ETD/ETA, and ensure timely delivery.

Maintain updated shipment schedules and tracking files.

Coordinate with freight forwarders for best freight rates and shipment optimization.

Work closely with warehouse, logistics, brand managers, and accounts to ensure smooth receiving, costing, and documentation.

Raise NCRs for shortages/damages & coordinate claims with suppliers/forwarders/insurers.

Manage item registration with Dubai Municipality and prepare FIRS, MOFA & ASN.

Maintain approved supplier files in line with HACCP & ISO22000 compliance.
