Job Description: The Support Coordinator & Dispatcher serves as the primary point of contact for service clients, answering incoming calls and coordinating work orders from request to completion. This role is responsible for communicating with clients and field personnel, and ensuring service work is efficiently dispatched, documented, and closed out. This position plays an important role in the overall success of our company. An individual in this position will be required to have strong communication, computer, and people skills.


Key Responsibilities:

  • Answer and manage incoming customer phone calls in a professional and courteous manner

  • Receive, create, and coordinate service work orders for commercial and industrial clients

  • Gather and accurately document service details, including scope of work, location, and urgency

  • Work with our Remote Support Specialist and Support Team Leads to schedule and dispatch technicians based on availability, skill set, priority, and location

  • Monitor work order progress and follow up to ensure jobs are completed on time

  • Update clients on scheduling, delays, and job status as needed

  • Coordinate emergency or priority service calls when required

  • Maintain accurate records in dispatch, work order, and job management systems

  • Process workorder close-outs, including confirmation of completion and required documentation

  • Coordinate with Support Manager, Team Leads, and billing staff to ensure smooth workflow

  • Handle customer questions, concerns, or service issues and escalate when appropriate

  • Support general administrative tasks related to service operations

  • Other duties as assigned


Qualifications:

  • Associate Degree preferred

  • 5+ years of applicable experience

  • Previous experience in construction, skilled trades, or subcontractor service coordination preferred

  • Strong verbal communication and phone etiquette

  • Ability to multitask and manage multiple service requests in a fast-paced environment

  • Excellent organizational and time-management skills

  • Strong attention to detail and accuracy in data entry

  • Customer service–oriented mindset with problem-solving abilities

  • Comfortable using scheduling, dispatch, and work order software systems

  • Proficient in basic computer applications (email, spreadsheets, job tracking systems)
