Job Overview
We are seeking a highly organized and detail-oriented Surgical Scheduler to join our healthcare team. The ideal candidate will manage surgical appointment scheduling, coordinate with medical staff, and ensure seamless communication between patients and providers. This role requires proficiency with electronic health record (EHR) systems, strong knowledge of medical terminology, and excellent administrative skills to support efficient clinic operations and patient care. Prior experience in a medical office environment, especially within surgical or specialty clinics, is preferred. The Surgical Scheduler will play a vital role in maintaining accurate documentation, verifying insurance information, and supporting overall office management.

Responsibilities

  • Schedule surgeries and procedures accurately within EMR systems such as Epic, eClinicalWorks, and other EHR platforms.
  • Coordinate with physicians, patients, and insurance providers to confirm appointment details and ensure proper documentation review.
  • Verify insurance coverage and benefits, including Medicare and other third-party payers, ensuring all necessary authorizations are obtained prior to procedures.
  • Manage patient intake processes, including collecting medical history, updating records, and ensuring compliance with HIPAA regulations.
  • Assist with billing processes related to surgical procedures by understanding CPT coding, ICD-10 coding standards, and medical billing procedures.
  • Maintain accurate medical records and documentation related to scheduling, patient information, and procedural notes.
  • Provide exceptional patient service by answering multi-line phone systems professionally, managing appointment changes, and providing clear communication regarding surgical schedules.
  • Support office management tasks such as filing, data entry (including 10-key typing), and maintaining organized patient files.
  • Collaborate with clinical staff to facilitate care plans and ensure timely preparation for upcoming surgeries or procedures.
  • Uphold confidentiality standards in accordance with HIPAA guidelines while handling sensitive health information.

Requirements

  • Proven experience in medical scheduling within a healthcare setting; clinic or dental office experience is highly desirable.
  • Familiarity with EMR/EHR systems such as eCW.
  • Knowledge of medical terminology including ICD-10 codes, CPT coding standards for surgical procedures, and insurance verification processes.
  • Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel), typing (10-key), and familiarity with health information management software like eClinicalWorks.
  • Excellent organizational skills with attention to detail for documentation review and accurate record keeping.
  • Exceptional communication skills with professional phone etiquette; bilingual abilities are a plus.
  • Ability to work efficiently in a fast-paced environment while managing multiple priorities effectively.
