Position Summary
The Surrogate Program Manager is the cornerstone of our surrogate program. This role is responsible for leading and increasing surrogate recruitment, managing screening and intake, overseeing surrogate case management, and supervising our part-time surrogate coordinators. You will collaborate closely with our marketing team, intake coordinator, international partner agencies, and leadership.
This position requires someone who is warm, organized, detail-oriented, and experienced in managing complex cases. You must be able to communicate compassionately while maintaining high professional standards. Most importantly—you will help women through one of the most meaningful experiences of their lives.
Key Responsibilities
1. Surrogate Recruitment & Marketing
- Develop and manage recruitment strategies to attract qualified gestational carriers.
- Responsible for increasing engagement on our social media platforms (Facebook, Instagram, TikTok).
- Collaborate with our marketing team to optimize ads, landing pages, and campaigns.
- Respond to messages, comments, and inquiries from prospective surrogates from all sources including social media, website, and online groups/forums.
- Draft 2–4 blog posts or articles per month to support SEO and marketing outreach to surrogates.
- Track new surrogate recruitment metrics and conversion rates.
2. Surrogate Intake & Screening
- Review and pre-screen surrogate applications and questionnaires.
- Conduct initial assessments (readiness, medical history, support system, etc).
- Coordinate with our Intake Coordinator for:
- medical records retrieval
- background checks
- OB clearances
- follow-up documentation
- Maintain accurate records in GoHighLevel (GHL) CRM.
- Make final “approved for matching” recommendations to the Director/Owner.
3. Surrogate Case Management
- Take over surrogate cases once surrogate is approved for match.
- Guide surrogates through:
- matching
- medical screening
- legal contracts
- embryo transfer
- pregnancy milestones
- Serve as the primary point of contact until handoff to a part-time coordinator after pregnancy stabilization.
- Provide ongoing emotional support and clear communication.
4. Leadership & Supervision
- Oversee two part-time surrogate coordinators:
- assign cases
- monitor timelines and responsiveness
- provide training and feedback
- Ensure all team members follow agency Standard Operating Procedures (SOPs) and best practices.
- Maintain weekly department meetings and reporting.
5. Cross Department Collaboration
- Coordinate with:
- Intended Parent division
- European and Chinese partner coordinators
- Marketing team
- Insurance/benefits team
- Ensure surrogate cases move smoothly and efficiently through the GHL workflow.
6. Reporting & Quality Assurance
- Provide weekly updates to agency leadership on:
- leads, assessments, approvals
- matching activity
- case progress
- risks or red flags
- Identify process improvements and help strengthen program systems.
Qualifications
Required
- 2+ years in surrogacy, fertility, adoption, case management, women’s health, or related field.
- Strong communication skills—both written and verbal.
- Ability to work independently with excellent judgment and discretion.
- Experience with CRM systems (GHL preferred but not required).
- High emotional intelligence and comfort supporting women during emotional moments.
- Strong organizational and project management abilities.
Preferred
- Prior experience in a surrogacy agency or IVF setting.
- Social media marketing or content creation experience.
- Supervisory or team leadership experience.
- Experience working directly with surrogates, intended parents or surrogacy agencies.
Work Environment & Schedule
- Fully remote position.
- Full-time, Monday–Friday with flexibility.
- Occasional evening/weekend availability during key case moments.
- Must have reliable internet, quiet and professional workspace, and ability to manage time effectively.
