The purpose of this role is to lead, coordinate, and control all operational activities within EDMS, including preparation, physical handling, regrouping, scanning, validation, and indexing of documents. The Team Leader ensures timely delivery, quality compliance, and customer satisfaction in line with InfasME and client requirements. The role involves managing daily operations, motivating teams, enforcing policies, monitoring KPIs, and providing reports to management and clients.


Planning & Organization

· Ensure project daily and weekly targets are met with the highest standards of quality and timeliness.

· Conduct daily QC checks on prepared, scanned, and validated documents, providing feedback to QCs, clients, and management.

· Prepare operational reports on volume, quality, and discrepancies.

· Monitor SLA adherence and ensure operational continuity.

· Coordinate workflows across preparation, scanning, indexing, and physical file handling teams.

People Excellence & Team Management

  • Supervise, coach, and motivate team members (~20+) to achieve departmental KPIs.
  • Conduct daily briefings, coaching sessions, and monthly staff observations.
  • Identify, develop, and mentor potential new Team Leaders.
  • Recognize and reward team efforts to maintain morale and performance.

Customer & Stakeholder Engagement

  • Communicate effectively with clients on operational updates, discrepancies, and resolutions.
  • Collaborate with internal stakeholders (Operations Supervisor) to ensure smooth delivery.
  • Ensure proper handling and storage of physical documents with no loss or damage.

Operational Efficiency & Risk Management

  • Ensure all EDMS processes (preparation, scanning, regrouping, indexing) are executed according to policy.
  • Track performance against targets; initiate corrective/preventive measures to avoid delays or quality issues.
  • Oversee audits (daily, weekly, monthly) and escalate deviations when required.
  • Ensure compliance with company policies, client requirements, and data security standards.
