The Enrollment Specialist is responsible for processing descendant and missed-enrollee enrollment applications that contain sensitive information. Requires high level of customer service, exceptional attention to detail, ability to maintain confidentiality, accuracy and records integrity.
Qualifications & Experience:

2+ years of experience in records management, genealogy research, or document preservation.

Experience with content management systems.

Strong attention to detail with a high level of accuracy and ability to maintain confidentiality with sensitive information.

Excellent written and verbal communication skills.
- Ability to work independently, manage tasks and meet deadlines.
Preferred Skills:

Knowledge of Alaska Native family history, ANCSA shareholder records management or tribal enrollment procedures.
- Familiarity with federal and state records (e.g., BIA, Census, probate, tribal enrollment rolls).
Essential Duties & Responsibilities:

Participate in an orientation and training session to learn, retain, and provide detailed information about the Enrollment application and verification process and shareholder records functions.

Successfully complete training as administrative user of the enrollment module with input and review permission.

Provide high levels of customer service and support to current and potential Shareholders.

Respond to enrollment eligibility inquiries, both verbally and in writing in accordance to established enrollment application and verification procedures.

Accept applications and verification documents for Class C and Class D stock.

Serve as a collaborative Team member as a first point of contact regarding the Enrollment Application and Verification process.
- Ensure scheduled and walk-in applicants are efficiently served with a target of accepting complete application data and verification documents in fifteen minutes or less.

Advise applicants and/or their legal representatives of acceptable forms of verification documents to establish eligibility.
- Ensure self-service, paper, assisted, and web enrollment applications are fully completed and entered in a computer database with accuracy; verify required documents prior to scanning. Follow-up with applicants as necessary to obtain required verification documents with an emphasis on outreach and follow-up with aging in-progress applications.

Perform accurate data entry when assisting prospective Shareholders to complete enrollment applications; verify required documents prior to scanning.

Ensure supporting documents are returned to applicants after scanning into the enrollment module.

Refer sensitive and complicated applications to Supervisor.

Batch upload application data when collecting data and documents where internet access is not available.
- Receive and route personal data updates to shareholder records staff as requested by current Shareholders.

Generate and review email and/or phone reports to confirm daily performance targets are met and propose to the Senior Enrollment Lead team any specific solutions for areas requiring intervention, problem solving, or improvement.
