The Temporary Operations & Project Manager is part of a dynamic administrative team and is responsible for supporting the day-to-day operations and planning of the college's extended education programs for youth and adults. Under the supervision of the Associate Director of Operations and Administration, the position works with college staff to manage daily operations, program admissions, enrollment, customer support, and special project management for the YPCE division. The Temporary Operations & Project Manager serves as a key liaison between academic and administrative departments at the college and supports collaboration with other program staff to ensure current and future program success. This position currently supports all YPCE program operations with focus on systems management, customer engagement, and project management. The position supports ongoing research, business, and development projects. Program offerings may shift depending on the needs of the division and college.
This is a temporary fixed term position with an anticipated end date of June 2026.
MAIN RESPONSIBILITIES:General Administration, Operations, and Development - 80%-
Maintain proficiency in all relevant college platforms and systems. Attend training and update skills as needed.

Understand and utilize Academic Affairs and college-wide standard operating procedures while carrying out all work duties.

Oversee internal and external database systems in consultation with the Administrative Information Systems teams. Run reports, enter and validate data; identify issues; propose and implement solutions.

Process applications, registrations, payments, and purchase requisitions for programmatic needs in collaboration with program and college staff. Provide customer support as needed.

Oversee refunds, discounts, and tuition remission procedures with student accounts and business offices in collaboration with program staff. Provide customer support as needed.

Manage daily operations in the development and revision of standard operating procedures and guidelines for current and future YPCE systems, including student information and the online marketplace.

Manage daily operations with key college offices and students support services including Enrollment Management and Auxiliary Services, Student Accounts and Business Services, Technology Services and Human Resources. Provide customer support as needed.

Represent YPCE and attend college meetings as necessary.
- Gather and prepare analytical information for the annual budget proposal process, in concert with the associate and senior director.

Other duties/special projects as assigned by YPCE leadership.
Systems Project Management - 20%-
Project Planning: Support the development of detailed project plans, including timelines, milestones, and resource allocation specific to certificate and new YPCE program development. Utilize Asana project management software.

Project Scheduling: Coordinate all stakeholders and manage a comprehensive calendar of tasks and deliverables, providing timely support when issues or challenges arise.

Stakeholder Communication: Serve as the support liaison between academic departments, administration, and external vendors and partners. Provide regular updates on program development status, potential risks/challenges, and resource needs.

Documentation: Maintain comprehensive records of program development processes, including meeting notes, curriculum drafts, and stakeholder communications.

Support the preparation of reports and presentations for academic committees and institutional leaders.
MINIMUM QUALIFICATIONS:-
BA/BFA/BARCH degree.

Three years of administrative experience at an education or nonprofit organization, or other similar environment.
- Strong customer service and support experience.

Excellent written and verbal/interpersonal skills.

Excellent organizational and time management skills; competent with multi-tasking, prioritizing, and sustaining focus amidst frequent interruptions.

Ability to oversee systems and processes with minimum oversight and work independently as needed.

Ability to exercise sound judgment, resolve diverse problems, and handle sensitive matters with confidentiality.

Experience with project management, cross-functional teamwork and collaboration.

Experience with systems thinking, streamlining workflows, and ability to apply technological innovations.

Proficient in business software and data entry.
Preferred:-
Experience at higher education art and design institutions.

Master's degree preferred with preference for one of the areas represented at CCA.

Experience with managing e-commerce websites for products or services.

Experience with project management tools, e.g. Asana, Notion and/or student information system (SIS), e.g. Colleague, Banner, Workday.
COMPENSATION & BENEFITS:-
The compensation for this position is $29.87/hour

CCA offers a comprehensive benefits package, including the choice of five medical plans, generous holiday, sick & vacation time, a retirement match and tuition remission. CCA covers an average of 91% of the medical plan cost for the employee only and an average of 82% for employees with dependents. CCA considers a full-time work week to be 37.5 hours per week.
