Job Purpose
The Time Management Officer is responsible for monitoring, controlling, and maintaining accurate employee attendance, shift schedules, overtime, and leave records. The role ensures compliance with company policies and labour laws while supporting payroll accuracy and operational efficiency. The incumbent will also support continuous improvement of attendance systems and processes, including biometric, ERP, and digital time management platforms.
Key ResponsibilitiesTime & Attendance Management
- Monitor daily attendance, shift timings, late arrivals, early departures, and absenteeism.
- Maintain and update biometric, manual, or ERP-based attendance systems.
- Verify attendance records prior to payroll processing.
- Coordinate with departments regarding shift schedules and attendance updates.
- Resolve attendance discrepancies, missing punches, and related issues in a timely manner.
- Maintain backup attendance records to ensure data accuracy and audit readiness.
Overtime & Leave Management
- Track overtime hours and ensure approvals are in line with company policies.
- Maintain accurate records of leaves, holidays, and compensatory offs.
- Reconcile attendance, overtime, and leave data on a monthly basis.
- Highlight unauthorized overtime or policy deviations to HR/Admin.
- Provide verified overtime summaries to the payroll team.
Shift & Roster Management
- Prepare and manage employee shift rosters in coordination with department heads.
- Ensure adequate shift coverage according to operational requirements.
- Communicate approved shifts and roster changes to relevant stakeholders.
- Monitor shift compliance and escalate repeated violations where necessary.
Reporting & Documentation
- Prepare daily, weekly, and monthly attendance reports.
- Share attendance dashboards and summaries with HR, Admin, and Finance teams.
- Maintain attendance and overtime records for audits and inspections.
- Support preparation of MIS reports and workforce analytics.
Compliance & Audit Support
- Ensure compliance with labour laws related to working hours, overtime, and rest periods.
- Support internal and external audits by providing accurate attendance records.
- Maintain confidentiality of employee attendance and payroll data.
- Ensure adherence to company SOPs, policies, and documentation standards.
System & Process Improvement
- Identify gaps in attendance management processes and recommend improvements.
- Support digitization and automation initiatives related to attendance systems.
- Conduct periodic system checks to ensure functionality and accuracy.
- Train employees and supervisors on attendance procedures and system usage.
- Handle employee queries related to attendance, overtime, and shifts.
Additional Responsibilities
- Assist HR/Admin in workforce planning through attendance analysis and insights.
- Coordinate with IT teams for system troubleshooting and upgrades.
- Ensure timely renewal and maintenance of biometric devices, software licenses, and system configurations.
- Coordinate with vendors for attendance system maintenance and support.

Qualifications & ExperienceEducation
- Bachelor’s degree, preferably in Management, HR, Administration, or a related field.
Experience
- 2–4 years of relevant experience in time management, attendance control, or HR operations.
- Mandatory experience with biometric, ERP, or digital time management systems.
- Experience in industrial or shift-based work environments will be preferred.
Skills & Competencies

- Good understanding of labour laws related to working hours and overtime.
- Proficiency in MS Excel and HR/attendance management systems.
- Ability to analyze attendance trends and identify operational risks.
