Remote Senior Timekeeping Specialist
Role Summary
The Senior Timekeeping Specialist is responsible for the day-to-day management of timekeeping remediation and escalation activities. This role ensures consultants can access and complete time entry, proactively monitors for missing or incomplete time, and drives follow-up and escalation efforts to resolve issues quickly and accurately.
The ideal candidate is highly organized, detail-oriented, and comfortable managing high-volume operational work while partnering across multiple teams to maintain compliance and operational efficiency.
Key Responsibilities
Missing Time Remediation

Own the remediation process for missing time, including triage, outreach, tracking, and closure of outstanding items

Execute a structured approach to address both current and historical missing time entries

Document resolutions, unresolved issues, and items requiring escalation or leadership decisions

Provide direct support to contractors and consultants via phone and email regarding time entry questions and issues

Guide consultants through required time submission processes to ensure timely completion
Timekeeping Escalation Management

Manage timekeeping escalations from initiation through resolution

Ensure consultants understand time entry expectations and required actions

Proactively escalate situations when time is missing, incomplete, or non-compliant

Coordinate with internal stakeholders to resolve issues impacting time submission
Access and Issue Resolution

Identify, track, and troubleshoot issues preventing time entry, including access, provisioning, or data-related barriers
-
Partner with cross-functional teams to resolve system or process-related blockers
-
Monitor recurring issues and identify patterns for process improvement and follow-up
Compliance Monitoring and Follow-Up

Monitor time entry activity to ensure completion and compliance
-
Conduct proactive follow-up with consultants and stakeholders regarding outstanding time submissions

Apply consistent escalation practices when expectations are not met
Operational Reporting

Maintain accurate tracking of missing time, active cases, and escalation statuses
-
Provide regular updates on backlog progress, aging items, and unresolved issues
-
Highlight risks, trends, and items requiring additional support or decision-making
Scope and Responsibilities

Accountable for the daily execution of timekeeping remediation, monitoring, and escalation activities

Supports operational compliance and reporting efforts

Does not own financial outcomes, policy decisions, or upstream process governance

Qualifications & Skills

Experience with timekeeping, workforce management, or operational support processes preferred
Preferred Experience

Experience supporting contractor or consultant populations

Familiarity with timekeeping systems and compliance monitoring

Prior experience in operational support, workforce administration, or shared services environments

This is a Contract position based out of Vernon Hills, IL.
Pay And Benefits
The pay range for this position is $24.00 - $28.00/hr.
