Department: Total Quality Management – Quality & Control
Reports to: Quality Manager / Top Management
Location: Sharjah - United Arab Emirates – Nejuom Al Jazeera Group
1. Job Purpose
To supervise the implementation of the Total Quality Management (TQM) system across all departments of the group, ensure compliance with operational policies and procedures, and lead continuous improvement initiatives aimed at enhancing performance, reducing errors and costs, and optimizing work efficiency in alignment with the company’s vision and strategic objectives.
2. Detailed Roles and Responsibilities
1. TQM System Supervision
- Implement TQM principles across all departments (administrative, operational, financial, logistics).
- Monitor the implementation of Standard Operating Procedures (SOPs) and ensure alignment with international standards.
- Update and develop the quality system as per business needs.
2. Internal Audit
- Prepare annual/monthly audit plans for all departments.
- Conduct field audits on warehouses, loading operations, customs, finance, customer service, HR, etc.
- Evaluate departments’ compliance with internal procedures.
- Issue accurate reports including strengths, weaknesses, risks, and improvement plans.
3. KPI Management and Quality Monitoring
- Set quality KPIs for each department and link them to actual outputs.
- Analyze KPI results weekly and monthly, and submit reports to top management.
- Monitor deviations and ensure departments submit clear corrective action plans.
- Develop performance monitoring dashboards for real-time tracking.
4. Quality Control in Daily Operations
- Monitor daily quality in warehouses (loading, receiving, scanning/photography, storage, sorting, container preparation).
- Monitor the quality of customer service, responses, and complaint handling.
- Ensure accuracy of data entered in systems (Odoo – CRM – Finance System).
- Identify operational errors, document them, and escalate to management.
5. Operational Risk Management
- Analyze operational risks and propose preventive solutions.
- Prepare periodic Risk Assessments for each department.
- Follow up on operational incidents and prepare Root Cause Analysis (RCA).
- Lead initiatives to reduce errors and minimize operational losses.
6. Continuous Improvement (Kaizen)
- Lead improvement projects across departments.
- Utilize Lean & Six Sigma tools to enhance efficiency.
- Reduce waste in time, effort, and costs.
- Develop new workflows that increase productivity and reduce errors.
7. Training and Employee Development
- Prepare training programs on quality and procedures.
- Train new employees on the quality system and job requirements.
- Conduct regular awareness workshops on quality and operational procedures.
- Enhance quality culture and discipline among staff.
8. Administrative Reporting
- Prepare daily/weekly/monthly quality status reports.
- Submit analytical reports to top management with clear recommendations.
- Prepare Incident Reports for operational accidents.
- Prepare NCR (Non-Conformity Reports) and follow up on closure plans.
9. Department Support and Branch Coordination
- Daily follow-up with department managers to address observations.
- Coordinate between branches (UAE – Oman – USA) to unify procedures.
- Provide direct support to warehouses, loading, customs, and external operations.
10. Compliance with Policies and Regulations
- Monitor compliance with HR policies and code of conduct.
- Ensure departments comply with top management directives and authority limits.
- Verify quality of documents, invoices, contracts, reports, and declarations.
3. Qualifications and Skills
Education
- Bachelor’s degree in Quality, Management, Industrial Engineering, or a related field.
- Preferred: ISO 9001 Certification – Six Sigma – TQM – Lean Management.
Experience
- 5–10 years of experience in Quality Management or Operational Auditing.
- Previous experience in shipping, warehousing, automotive, or logistics is a strong advantage.
Technical Skills
- Knowledge of Lean & Six Sigma improvement methodologies.
- Strong data analysis skills and dashboard development.
- Solid experience in SOP documentation.
- Experience with ERP systems such as Odoo.
- Strong background in comprehensive internal audits.

4. Key Performance Indicators (KPIs)
- Compliance rate with procedures (Target: 100%).
- Improvement plan completion rate per department.
- Operational error rates before/after audits.
- Number of NCRs and monthly closure rate.
- Operational incident rate and its reduction.
- Speed of addressing department observations.
- Quality and clarity of audit reports.
- Top management satisfaction with quality and control levels.
5. Authority
- Full supervision of the quality team.
- Request reports and data from any department without exception.
- Suspend any non-compliant operation until corrected.
- Submit direct recommendations to top management.
- Enforce corrective and improvement actions across all departments.
