Track and Trace Coordinator

The Track & Trace Coordinator is responsible for monitoring freight shipments in real time, ensuring on-time delivery, and maintaining proactive communication with carriers and customers. This role also supports billing and invoicing processes by verifying load details, processing documentation, and ensuring accurate financial transactions.

Pay: $20 - $22 per hour

Duties and Responsibilities

• Monitor active shipments from pickup through delivery
• Communicate with carriers/drivers to obtain real-time status updates
• Provide proactive updates to customers regarding shipment progress
• Identify and resolve transit issues such as delays, breakdowns, or route deviations
• Ensure on-time pickup and delivery performance
• Serve as the primary point of contact for carriers and internal teams
  
• Maintain consistent communication via phone, email, and TMS systems
  
• Escalate service failures or critical issues as needed
  
• Generate and send customer invoices upon load completion
  
• Review and validate carrier invoices against agreed rates
  
• Process accessorial charges (detention, layover, TONU, lumper fees)
  
• Perform 3-way matching: Rate Confirmation, Proof of Delivery (POD), and Carrier Invoice
  
• Ensure all documentation is accurate and uploaded into the system
  
• Close out loads in the Transportation Management System (TMS)
  
• Coordinate with accounting to resolve billing discrepancies

Skills and Qualifications:

• Strong communication and interpersonal skills
• High attention to detail and accuracy
• Ability to multitask in a fast-paced environment
• Problem-solving and critical thinking skills
• Basic proficiency in Microsoft Excel and data entry systems
• Experience with TMS platforms (e.g. Tai) preferred
• Basic understanding of freight brokerage and logistics operations
