Trainee Nightlife Receptionist/Hostess

We are Botanica, a high end cocktail bar & nightlife venue in Adliya.

We are on the look out for an aspiring nightlife receptionist to join our team as a trainee and learn hospitality our way. We start from the beginning and teach, so no experience is necessary. The key attributes we are looking for are:

  • Excellent, professional spoken and written english
  • Enthusiasm for working in nightlife & party atmosphere
  • Comfortable with nightlife, working around alcohol and late working hours, including 3am finishes
  • Great attitude and willingness to learn
  • Enthusiasm for interacting with people, digitally & in person

Opportunity:

  • The salary is BD400 monthly
  • 45 hours/week with 2 days off
  • We provide a work visa, 30 days leave, and a 2 year air ticket.

  • This is a training role; to succeed you will need to demonstrate an active interest in growth and learning - there will be extra training and frequent testing, especially in your 3 & 6 month periods.

Receptionist Job Description:

The Reception function takes charge of the brand’s relationship with the guest right up until they are seated; and it resumes as soon as they have paid their bill, right up until they have been seated again on a different occasion. A receptionist at Botanica is a senior position that is expected to use their expertise to drive and develop the overall output of reception. A receptionist is expected to strive to be an expert on all aspects of the reception function, and aspire to progress to reception supervisor level.

This JD will explain the different areas of responsibility within the job role.

Reports to Reception Manager.

External client communication

  • Reservations management. Maintain the reservations book with high standards of organisation and planning.
  • Remote communication. Control the positivity of every single interaction & drive the first impression of Botanica through speed of response, tone, language and content.
  • Enquiries as opportunities. Make the most of every opportunity to secure future reservations.
  • Digital relationships. Use outreach opportunities to develop and sustain ongoing relationships with clients.

Client arrivals

  • Door control. Alongside security, act as the gatekeepers for the venue; effectively collaborate & maintain the quality of clientele entering
  • Follow and shape access policies. Be the expert regarding access policies; align with the best interest of the venue & propose when to enforce and when to relax.
  • Client behaviour. Ensure that any relevant client behaviour is always recorded in their SevenRooms profile, and always refer to their profile when making access decisions.
  • Seating. Collaborate with floor management to ensure a smooth seating for guests

Internal client handling

  • First & last impression. Never to be understated - the warmth of the welcome sets the tone for the guest’s experience; a goodbye is the last thing the guest remembers.
  • Appropriate guest interaction. Emphasise eye contact, body language, standing to receive guests, engaging in conversation, walking guests into the venue and similar.
  • Personal visibility. Remain aware of your high visibility to customers, represent the brand, ensure that your appearance and behaviour is appropriate at all times.
  • Complaint handling & prevention. Act as custodian of the guest experience; gain feedback from clients whenever possible and share appropriately.

Internal communication

  • Proactive briefing. The reception team manages important info that needs to be actively shared, regularly with other parts of the operation.
  • Support the team hierarchy. Follow policy and lines of communication, work closely with the wider team. Think independently & creatively, and feedback always
  • Communication & awareness. Contribute to 1:1s and meetings, read and feedback on briefings, and maintain digital communications at all times.

Marketing & Events

  • Marketing liaison. Reception needs to stay in constant contact and proactively communicate with marketing.
  • Brand language. Ensure that the tone and language used is consistent with the brand identity of the business.
  • Content creation. Work with the marketing manager to take short form photos and videos within the venue.
  • Event coordination. Assist in event specific organisation and execution.
  • Promotional feedback. Gain useful marketing feedback to assist and guide the effectiveness of marketing campaigns.
  • Whatsapp broadcasts & outreach . Execute whatsapp broadcasts and outreach in line with reception manager’s direction.

Administration & client record management

  • CRM & client data. Reception drives the brand’s data strategy; constantly striving for better and more detailed data collection is a core part of the role.
  • Client analysis. Use your understanding of our objectives and your specific client knowledge to improve the quality of our client data.
  • Record keeping. Make sure that the essential statistics of the night are both consistently and accurately recorded inclusive of client spending and head count.
  • Data protection. Ensure that Botanica’s data remains privileged and is not discussed or shared with outside sources.
