1. Review and understand all relevant policies and procedures in order to be able to carry out daily work tasks as expected and answer all stakeholder inquiries, clarifications, or any assistance related to Continuing Education and Professional Development accurately and efficiently.
2. Provide assistance to any customer inquiries via phone, email or in-person and answer their enquiries about any training programs offered by the concerned unit such as timings, dates, fees, etc.
3. Assist in assessing training needs through surveys and interviews with clients, focus groups, line managers, and committee/board members.
4. Help build relationships with local authorities, associations, government organizations, and other stakeholders.
5. Participate in events, workshops, awareness sessions, and other activities that can help promote training and development services as a compatible and reliable training provider.
6. Prepare class schedules, trainees list, classrooms, equipment, handouts, visual aids, stationary and other required materials before the start date of each training program.
7. Ensure that training halls are booked and ready, as well as prepare and distribute welcome packs for new program attendees, and provide them with the required training materials and tools.
8. Handle the certificate preparation process, and ensure that trainees have provided the correct information (e.g. Full name). As well as ensure that certificates are printed, signed and ready to be distribution in a timely manner.
9. Prepare, distribute and maintain class attendance sheets for both trainees and instructors, and evaluation forms/surveys for all training courses and instructors.
10. Manage and update an accurate database of contacts for trainees, training providers, instructors and potential clients.
11. Coordinate with the Media Center to create suitable marketing and promotional media material, as well as the Public Relations Department to prepare personalized individual and corporate packages when needed.
12. Assist in preparing various reports, data collection, analysis and statistics requested by the line manager.
13. Complete any other job-related tasks as assigned by the line manager within the expected time limit.
