Transaction Coordinator

Job description:

We are looking for a highly organized, detail‑driven Transaction Coordinator to join our dynamic real estate team for an exciting, fast-paced role. This role manages the full lifecycle of each property - from contract to close, through renovation, listing, resale, and final proceeds. The ideal candidate is proactive, systems‑oriented, and comfortable coordinating multiple stakeholders while maintaining exceptional accuracy and communication.

What You’ll Do:

  • Manage the full contract‑to‑close process for acquisitions and resales, including opening and closing escrows, coordinating with title, and ensuring all documents are accurate and compliant with applicable regulations.
  • Prepare, review, and organize all transaction documents, including contracts, amendments, disclosures, title prelims, inspection reports, appraisal results, settlement statements, and closing packages.
  • Coordinate with lenders, real estate agents, buyers, sellers, inspectors, appraisers, and internal team members to facilitate smooth and timely transactions.
  • Track all contingency deadlines, request extensions when needed, and maintain detailed records of all communications and transaction milestones.
  • Assist with inquiries regarding contracts, escrow procedures, and transaction status, providing clear and professional communication to all parties.
  • Maintain accurate and organized property files, Google Drive folders, Master Sheet updates, and all transaction‑related trackers.
  • Support listing preparation, agent updates, pricing discussions, offer management, and document execution for properties going on the market.
  • Manage resale transactions, including escrow confirmation, EMD receipt, repair request review, contingency removals, seller document coordination, and closing confirmation.
  • Prepare and maintain cost matrices, breakevens, proceeds sheets, and wire packets for approval, performing accurate financial calculations as needed.
  • Review HOA documents to help determine loan eligibility. The ability to identify red flags and request missing information is essential.

Preferred Background:

  • Escrow assistant/officer experience
  • Strong understanding of title, escrow, contingencies, and contract timelines
  • Experience coordinating inspections, appraisals, utilities, and vendors
  • Comfort reviewing settlement statements, closing packages, and wire instructions
  • High‑volume environment (20+ files/month)
  • HOA/condo transaction experience
