Who are we looking for?

North Alabama House Buyer is looking for a highly organized, dependable, and detail-oriented Transaction Coordinator to help manage the closing process for our real estate acquisitions. This is a full-time role for someone who wants a long-term opportunity with a fast-growing local real estate investment company.

This person will help oversee our files from contract to close, communicate with sellers, buyers, title companies, attorneys, and internal team members, and make sure every transaction moves smoothly and efficiently. The right candidate is proactive, calm under pressure, strong with follow-up, and able to keep multiple files organized without letting details slip through the cracks.

We are looking for someone who is a strong communicator, a team player, and someone who takes ownership of their work. Real estate transaction coordination or real estate administrative experience is strongly preferred.

What will you do?

The Transaction Coordinator will be responsible for helping manage the administrative side of our acquisitions from executed contract through closing. This person should be able to provide excellent service to sellers, buyers, title companies, attorneys, and team members while keeping each file moving on time.

The ideal candidate is highly organized, process-driven, and comfortable handling deadlines, documentation, and communication across multiple transactions at once. This person should be able to think ahead, solve problems, and make sure nothing falls through the cracks.

Transaction Coordinator duties and responsibilities include, but are not limited to:

  • Open and manage transaction files from contract to close
  • Serve as a main point of contact between North Alabama House Buyer, sellers, buyers, title companies, attorneys, and other third parties
  • Maintain accurate records, notes, and file documentation for every transaction
  • Ensure contracts, addenda, amendments, disclosures, and other required documents are complete and properly executed
  • Coordinate with acquisitions, dispositions, and operations team members throughout each transaction
  • Order title work and follow up with title companies and closing attorneys
  • Monitor deadlines and contingency dates to ensure files stay on track
  • Confirm earnest money delivery and other required items have been completed on time
  • Communicate regularly with sellers, buyers, and internal team members regarding status updates and next steps
  • Review settlement statements and closing disclosures for accuracy before closing
  • Coordinate closing dates, times, locations, and signing logistics with all parties
  • Track missing items and follow up until all documents and requirements have been completed
  • Help draft and organize addenda, amendments, and other transaction-related documents as needed
  • Keep CRM and internal systems updated with accurate file notes and status changes
  • Support the team with administrative tasks related to acquisitions, dispositions, and closings
  • Help ensure a smooth handoff between departments during the life of each file
  • Follow up after closing when needed to confirm completed files and final documentation

General business operations may include:

  • Answering calls, texts, and emails related to active transactions
  • Scheduling appointments and coordinating meetings as needed
  • Supporting leadership and other team members with administrative tasks
  • Maintaining organized digital files and back-office systems
  • Assisting with special projects and process improvements as needed

Position requirements

  • Previous transaction coordination, real estate administration, title, or closing experience strongly preferred
  • Strong attention to detail
  • Excellent verbal and written communication skills
  • Ability to manage multiple files and deadlines at once
  • Strong organization and follow-up skills
  • Comfortable working with contracts, documents, and file management systems
  • Tech-savvy and comfortable using CRM platforms, Google Workspace, Microsoft Office, and PDF tools
  • Ability to work independently, solve problems, and stay on top of tasks without constant supervision
  • Positive attitude and team-oriented mindset
  • Reliable computer, internet connection, and smartphone

Preferred qualifications

  • Experience in real estate investing, wholesale, or residential transactions
  • Familiarity with Alabama real estate closings
  • Experience communicating with title companies, attorneys, and sellers
  • Experience in a fast-paced real estate office environment

Compensation

Compensation will depend on experience, skill set, and overall fit for the role.

Pay: $45,000.00 - $65,000.00 per year
