Transportation Assistant/Dispatcher – Full Time

Giles Health and Family is seeking is a private non-profit in Giles County that offers Non-Emergency Medical Transportation, Child Care and Adult Day Care. We are seeking support staff to work in the transportation department. Transportation services include trips to dialysis, mental health, cancer treatments and other medical and dental appointments in Giles and surrounding counties.

JOB SUMMARY

This position plays a crucial role within the Transportation Division of Giles health and Family. This position involves specialized work requiring on-the-job skills, knowledge, and abilities. This position may require driving when needed, background and drug screening. Must be able to safely secure wheelchairs, which may include lifting, bending, manueveruing at least 50 lbs.

Essential job functions include:

  • Employing discretion and sensitivity in interactions with employees, social service providers, and the public
  • Working with web and application-based transportation scheduling software
  • Scheduling client trips and providing customer support and schedule management
  • Dispatching information to vehicle operator and preparing scheduling manifests
  • Reconciling transportation manifests and invoices
  • Maintain accurate records of data, including client records, participation in services, and subcontracted provider issues

The successful candidate must adapt to stress involved in dealing with clients in crisis situations. Tact and diplomacy are required when communicating with employees, social service providers, and the public. This position is expected to make decisions concerning priorities, sequence of events, and procedures to be followed. Daily tasks may be urgent in nature and candidate should be able to trouble-shoot transportation problems, making expedient decisions and prioritizing tasks as necessary. ]

This employee works independently, following standard operating procedures with unusual situations being referred to a supervisor. Work is reviewed through client satisfaction, performance metrics, and appraisal by the supervisor. General job functions include but are not limited to receiving information of a private nature from both clients and service providers. A high level of confidentiality is required.

Clerical functions will be performed using a company computer and cell phone. Frequently used software and applications include, but are not limited to:

  • Microsoft Office Suite (Excel, PowerPoint, Teams, Outlook, Word, SharePoint)
  • Trip software
  • Apple iPhone and/or Android applications
  • Additional internal networks and applications, as necessary

JOB REQUIREMENTS

  • Skill in verbal and written communication
  • Skill in recording and relaying information accurately
  • Knowledge and ability to communicate with tact and diplomacy
  • Knowledge and ability to operate telephone and perform general clerical tasks
  • Knowledge and ability to follow detailed instructions
  • Knowledge of service invoice processing and reconciliation
  • Skill in operating a computer using various Windows and cloud-based software programs
  • Willingness and ability to maintain confidentiality with client and personal information
  • Ability to read, write, and communicate in English effectively

Interpersonal Relations

  • The employee has frequent contact with outside agency personnel, citizens and supervisors to provide and/or obtain services/information related to work activities. Information is of a detailed and recurring nature requiring some explanation or interpretation of facts.

Supervision Received

  • Employees work independently in maintaining communications via telephone and modem/fax. Products are subject to review on a regular basis by supervisory personnel, social service providers and citizen/client input. Detailed instructions are provided for new procedures or changes in existing procedures. Supervisors can be contacted when unusual situations occur.
