Schedule: Full-Time | Monday – Friday | 7:30 AM – 5:00 PM

Occasional schedule adjustments may occur based on operational needs.

Position Overview

The Transportation Customer Service Representative supports the daily operations of Tyler Transport LLC by ensuring accurate load entry, clear communication with drivers and customers, and proper documentation of shipments.

This role focuses on operational support tasks including entering shipment information into the Transportation Management System (TMS), tracking loads in transit, completing customer and broker shipment updates, and preparing documentation required before billing.

The position serves as a key communication point between drivers, customers, and the operations team while maintaining accurate shipment records and supporting dispatch operations.

This role is often the first step in learning transportation operations and provides foundational exposure to dispatch procedures, trucking terminology, and basic regulatory requirements.

This position operates in a fast-paced transportation office where shipment schedules, customer needs, and driver availability can change quickly. The ability to stay organized, communicate clearly, and maintain accuracy under pressure is essential.

This role requires a high level of attention to detail, as accurate data entry and documentation are critical to the movement and billing of freight shipments.

Key Responsibilities

· Enter shipment and load information accurately into the Transportation Management System (TMS), including details from rate confirmations such as pickup numbers, delivery instructions, appointment times, and special requirements.

· Provide drivers with load information and shipment instructions as directed by dispatch or operations supervisors.

· Track trucks and shipments to ensure customers, brokers, and internal staff receive accurate and timely updates.

· Complete shipment status updates through customer and broker platforms, including EDI or web-based tracking systems.

· Process Proof of Delivery (POD) documents and match PODs with the appropriate rate confirmations before submitting documentation to accounting for invoicing.

· Answer incoming phone calls from drivers, customers, and vendors and communicate information to the appropriate internal staff.

· Assist with scheduling delivery appointments and communicating appointment information to dispatch and drivers.

· Maintain organized shipment records and operational documentation within company systems.

· Assist dispatchers and driver managers with administrative and operational support tasks as needed.

· Identify shipment issues or delays and communicate them promptly to supervisors.

· Develop a working knowledge of basic FMCSA regulations, including Hours of Service requirements and proper handling of freight documents such as Bills of Lading.

Required Skills & Qualifications

· Strong data entry and basic word processing skills.

· High attention to detail and accuracy when handling shipment information and documentation.

· Strong organizational skills and ability to manage multiple tasks simultaneously.

· Clear written and verbal communication skills.

· Professional phone etiquette and ability to communicate effectively with drivers and customers.

· Ability to remain calm and composed when handling time-sensitive operational issues.

· Problem-solving mindset with the ability to identify and communicate potential issues.

· Basic computer proficiency including Microsoft Office (Excel, Outlook, and Word).

· Willingness to learn trucking operations, company procedures, and applicable regulations.

Preferred Qualifications

· Previous experience in trucking, logistics, dispatch, or transportation operations.

· Experience working with Transportation Management Systems (TMS).

· Familiarity with trucking terminology and freight documentation.

· Experience in a fast-paced office environment requiring high levels of organization and accuracy.

· High school diploma or equivalent.

· Shipment updates are completed consistently for customers and brokers.

· Drivers receive clear and accurate load instructions.

· Shipment documentation and PODs are organized and properly matched with rate confirmations before submission to accounting.

· Dispatch and operations staff receive reliable support that helps maintain smooth daily operations.

· Drivers and customers receive clear, professional communication.

Additional Employment Requirements

· Must have a valid driver’s license and reliable transportation.

· Must maintain reliable attendance and report to work on time each scheduled workday.

· Must be willing to use a personal cell phone to communicate with drivers when necessary.

· Must be willing to sign a Non-Disclosure and Non-Compete Agreement.

· Must pass a state and federal background check.

· Position begins with a 90-day probationary period before eligibility for permanent employment status.
