Travel Coordinator

We are seeking a detail-oriented and proactive Travel Coordinator to manage and coordinate all aspects of travel arrangements for our company. The role includes handling business travel logistics, tracking visa, ensure efficient travel logistics, maintain relationships with travel vendors, and provide exceptional service for our employees.

Key Responsibilities:

  • Travel Arrangements: Coordinate and monitor travel arrangements for expatriate employees, including flights, accommodations, transportation, and visas in compliance with company policies , ensuring cost-effectiveness and efficiency.
  • Travel Policy Compliance : Ensure adherence to company travel policies and procedures while providing guidance to expatriate employees on travel regulations and requirements. Update and communicate any changes to travel policies to all stakeholders.
  • Travel Records & Reporting: Maintain accurate records of travel bookings, itineraries, and employee travel history. Prepare and present regular reports on travel activities, costs, and compliance metrics for quarterly review. Ensure all travelers have valid passports, visas, tickets, and other required documents before departure.
  • Budget Monitoring: Monitor and track travel expenses within allocated budgets, providing regular reports for finance department on travel spending trends.
  • Personal Travel for Stakeholders: Coordinate personal travel bookings and arrangements for the stakeholders & Management team members , including flights, hotels, and transport as needed.
  • Vendor Liaison: Maintain strong relationships with travel agencies, visa consultants, and hotel partners to negotiate corporate rates and ensure high service standards.
  • Travel: Maintain accurate travel logs and provide reports as required for compliance, budgeting, and audit purposes.
  • Employee Support: Serve as the primary point of contact for employees regarding travel-related inquiries, addressing concerns or issues that may arise. Provide support for emergency travel situations, changes, or cancellations as needed.

Qualifications and Skills:

  • Proven (5-6) years-experience in travel coordination with travel agency, or preferably from oil & gas sector or related industries.
  • Strong knowledge of international travel processes and visa requirements.
  • Excellent organizational and time-management skills.
  • Exceptional communication, negotiation & interpersonal skills.
  • Ability to manage sensitive and confidential information.
  • Proficiency in MS Office and travel booking platforms.
  • Problem-solving mindset and ability to handle travel emergencies effectively.
